Job description

To ensure required stock level in Depots with minimal Depot Loss, maintain villa & depot hygiene, implementation of Depot Operating Procedure, adhering to recommended Quality and Safety standards by monitoring the activities and performance of the staff reporting to him, and keeping the staff motivated.

Key Responsibilities

  1. Maintain Depot Stock Level.
  2. Implement correct product handling standards in vehicle loads and warehouse storing.
  3. Implement Cold Chain Management in all vehicles before and during loading as well as in cold stores to meet Quality Standards.
  4. Ensure Depot hygiene and cleanliness to meet Company standards.
  5. Adhere to Date Code Policy to meet Company policies.
  6. Ensure the issued crates from CPP to the Regions are returned accurately.
  7. Ensure that all staff under his area of responsibility are well trained and motivated to carry out all responsibilities as per Company standards.
  8. Adhere to Health & Safety Policy to meet the Safety standards of the Company.
  9. Adhere to Quality Systems to meet Company standards.
  10. Maintain proper records that are in line with Company Systems.
  11. Compile monthly receipt, dispatch and loss reports, reconcile product losses and complete logistical activity reports for RGM.
  12. Ensure procurement/purchase of non-Central procurement items in depots of the Regions by following the procedures.
  13. Ensure rotation of stocks according to the Ageing level.
  14. Ensure Villa Hygiene and Villa Maintenance.

Performance Metrics

  1. Number of instances of out of stocks (Foods and Long Life) and short/excess receipt of Fresh products without prior information given to Sales.
  2. Audit results against standards relating to stacking of products in cold stores; loading/unloading of products in the ramp.
  3. Audit results against standards relating to pre-cooling of vans & chill ramps; temperatures in cold stores; use of flaps and doors.
  4. Audit results against standards relating to common areas in the depot & office, ramp and cold stores.
  5. Audit results against company Date Code Policy in the reconciled product and the stored product in the warehouse.
  6. Actual returned against CPP issues.
  7. Summary of Training Needs identified: Active ITPs; No. of training planned vs completed.
  8. Actual Risk assessment results against agreed safety standards in the area of responsibility.
  9. Actual quality audit reports against the quality system standards in the area of responsibility.
  10. Accuracy of logistical records.
  11. Accuracy of reports.
  12. Purchase according to the Company procedures.
  13. No aged stocks in the stores.
  14. Audit results against standards relating to Villa Hygiene.

Activities

  1. Ensure that all group, divisional and regional policies and procedures are implemented and monitored.
  2. Ensure that all depots maintain Depot Hygiene and cleanliness to the required standards.
  3. Ensure to maintain good Health and Safety standards in all depots.
  4. Ensure to maintain good standards of Cold Chain Management.
  5. Monitor physical checking of all stocks, products, depot equipment and all other company or depot assets.
  6. Organize ramp and cold store procedures and systems to ensure efficient work activities and maintain the cold chain.
  7. Visit depots at regular and irregular times to ensure proper implementation of group policies in all areas of responsibility.
  8. Liaise with Regional Sales Executives on depot operations and activities.
  9. Inspect goods purchased to ensure they meet the right quality and standards.
  10. Arrange annual holidays for all staff under his responsibility.
  11. Audit depots and accommodations frequently for further improvement.
  12. Monitor rotation of stocks in depots to prevent over/under stocking and accumulation of aged stocks.
  13. Ensure proper classification and disposal of product wastage in the region according to company policy.
  14. Protect company assets.

Job Specification

Qualifications:

  1. Essential: 2nd Level education
  2. Logistic Supervisor (internal candidate)
  3. Diploma in stock management
  4. Computer literate
  5. Age: 30-35 years
  6. Desirable: Degree in Logistics related subject
  7. Computer literate in SAP inventory management

Experience:

  1. Essential: 2 years in store keeping or as store in charge.
  2. Desirable: 1 year in Distribution and man management.

  2. Demonstrates knowledge in inventory, warehouse management & logistics.
  3. Strong supervisory skills of staff development and motivation; good team player.
  4. Ability to trace how logistics affects production, sales distribution, and ultimately the consumer.
  5. Ability to analyse and make sound decisions.
  6. Customer service orientation and ability to meet deadlines under pressure.
  7. Good communication skills.
