Responsibilities:
To provide internal administration support to the Facilities Management (FM) team to facilitate the effective operation of the team in the provision of support to the project delivery teams and functional assurance activities.

  1. Demonstrate the ability to think logically, and show flexibility and adaptability in developing new solutions for tasks and internal processes.
  2. Possess excellent office administration and support skills including the use of the Microsoft Office suite of tools.
  3. Have a working knowledge of configuration control principles for recording & maintaining documentation.
  4. Exhibit a confident character, with the ability to communicate effectively at all levels, both orally and in writing, with strong interpersonal skills to ensure effective membership of the FM team.
  5. Demonstrate the ability to plan & prioritise own work, and meet the administration requirements.
  6. Understand the organization of BAE Systems Saudi Arabia and how it functions.

Job Requirements:
Provide high standard of administrative support to the Director of Facilities and FM team, including but not limited to:

  1. Make and manage functional travel bookings.
  2. Manage functional reprographic requests.
  3. Undertake local procurement including stationery.
  4. Maintain a booking system and provide necessary support for team meetings and planned events and forums.
  5. Maintain a current Team calendar and departmental leave chart.
  6. Support the maintenance of the Business Management System.
  7. Ensure functional documentation is reviewed and updated in accordance with agreed review dates.
  8. Attend and support internal functional meetings as required, including the production of minutes and actions as required as directed.
  9. Produce charts, presentations and reports in support of the FM.
  10. Develop an understanding of PM tools and techniques, including attending appropriate training, in order to support the function more effectively.
  11. Assist in learning & development delegate management through liaison with training delegates to ensure appropriate attendance.
  12. Own and manage the project management community database and associated records and ensure appropriate change control measures are in place.
  13. Undertake other ad hoc tasks as required and agreed.

In addition, the jobholder is expected to undertake the following generic responsibilities:

  1. Take ownership of own personal and professional development through own Performance & Development Review (PDR) process.
  2. Demonstrate commitment to the company Total Performance culture.
  3. Undertake all mandated and developmental training as deemed appropriate by the business.

  5. Co-operate with Directors/Managers to achieve a healthy and safe workplace in accordance with the business unit Health and Safety Policy.
  6. Adhere to Security policies and procedures and ensure that Company assets within their charge are adequately protected.
  7. Manage & use resources both effectively and in such a manner as to minimise costs; and contribute to the achievement of agreed budgets.
  8. Maintain personal time management standards.

The jobholder for this role would typically hold High School qualifications or have a business administration and/or project management qualification/skill-set, or demonstrate an ability to develop these skills quickly. Ideally, the jobholder shall have 1 year previous work experience.
