OFFICER, PURCHASING

Job Purpose

The Purchasing Representative plays a key role in the purchase department, acting as a liaison between internal stakeholders and external vendors. This position is responsible for sourcing, negotiating, and purchasing goods and services required by the company, while ensuring efficient communication, adherence to policies, and high customer satisfaction.

Key Accountability Areas

1. Source and evaluate suppliers based on price, quality, and delivery speed.
2. Negotiate contracts and terms with suppliers to secure favorable pricing and payment terms.
3. Coordinate with internal departments to determine procurement needs and specifications.
4. Maintain accurate records of purchases, pricing, and inventory levels.
5. Monitor supplier performance and address any issues or concerns.
6. Forecast demand and develop procurement strategies to meet business objectives.
7. Stay informed about market trends, new products, and industry best practices.
8. Collaborate with stakeholders to implement cost-saving initiatives and process improvements.
9. Ensure compliance with company policies, regulations, and ethical standards.

Role Accountability

1. Bachelor's degree in business administration, diploma in accounting, Supply Chain Management, or related field.
2. Proven experience as a Purchasing Officer or similar role.
3. Strong negotiation skills and ability to build productive relationships with suppliers.
4. Excellent communication and interpersonal abilities.
5. Solid understanding of procurement processes, including sourcing, contracting, and inventory management.
6. Proficiency in Microsoft Office and procurement software.
7. Analytical mindset with the ability to make data-driven decisions.
8. Detail-oriented with strong organizational skills.
9. Ability to work independently and collaborate with cross-functional teams.
10. Certification in Purchasing and Supply Chain Management (e.g., CIPS) is a plus.

Academic Qualification: Bachelor Degree in Business Administration

Work Experience: 2 to 5 Years

Technical / Functional Competencies: Negotiating, Purchasing Agreements, Purchasing Procedures, Purchasing Reporting
