Job description

We are seeking a reliable and proactive Office Services Agent with 4+ years of experience in a similar field to join our team. The Office Services Agent will be responsible for ensuring smooth operations within our office environment, including handling mail distribution, managing office supplies, coordinating office events, and providing general administrative support to various departments.

Key Responsibilities:

  1. Manage incoming and outgoing mail, including sorting, distributing, and processing shipments.
  2. Maintain inventory of office supplies and place orders as needed to ensure adequate stock levels.
  3. Coordinate office maintenance and repairs, including liaising with vendors and service providers.
  4. Assist in setting up and organizing office spaces for meetings, events, and conferences.
  5. Support the facilities management team in maintaining a clean and organized office environment.
  6. Provide general administrative support such as answering phones, responding to emails, and scheduling appointments.
  7. Assist with office moves and relocations, including packing and unpacking office equipment and furniture.
  8. Monitor and maintain office equipment, including printers, copiers, and fax machines.
  9. Ensure compliance with company policies and procedures related to office operations and safety guidelines.
  10. Handle requests for large printing jobs and binding services, ensuring quality and timely completion.

Requirements:

  1. High school diploma or equivalent; additional certification in Office Management or related field is a plus.
  2. Proven experience in office administration, facilities management, or a similar role.
  3. Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  4. Excellent English/Arabic communication and interpersonal skills.
  5. Proficiency in MS Office (Word, Excel, Outlook) and office equipment operation.
  6. Ability to work independently and as part of a team, with a proactive and problem-solving attitude.
  7. Attention to detail and accuracy in performing administrative tasks.
