Position: Office Manager - Saudi Arabia

The Office Manager will be responsible for ensuring the smooth operation of the office while also handling the duties of a Public Relations Officer (PRO). The role requires strong organizational skills, attention to detail, and a comprehensive understanding of government regulations and procedures related to UAS’ operations in Saudi Arabia. As this role is part of the Saudization initiative, we are looking for a qualified Saudi national with the ability to manage both office administration and liaise effectively with government entities.

Key Responsibilities:

Office Management

  1. Oversee the daily operations of the office, ensuring a productive and organized work environment.
  2. Manage office supplies, equipment, and facility maintenance.
  3. Supervise administrative staff and coordinate schedules for meetings and travel arrangements.
  4. Support senior management in implementing company policies and procedures.
  5. Ensure proper record-keeping of office-related documents.
  6. Manage communication with external vendors for office-related services.

Public Relations Officer (PRO)

  1. Handle all activities related to all governmental bodies.
  2. Process work visas, residency permits, renewals, cancellations, and other legal documentation.
  3. Ensure the company’s compliance with Saudi labor laws and regulations.
  4. Submit regulatory documentation and ensure that all required government filings are accurate and completed on time.
  5. Represent the company during audits, government inspections, and compliance checks.
  6. Manage employee-related government paperwork.

Saudization Compliance

  1. Ensure the company meets the Saudization requirements in accordance with government regulations.
  2. Liaise with the Human Resources team to manage Saudization quota and reporting.

Government Relations

  1. Build and maintain strong relationships with government officials to facilitate smooth processes for company requirements.
  2. Stay up to date on changes in government policies and regulations affecting the company.

Other Administrative Tasks

  1. Assist with onboarding new employees, ensuring they have the required documentation and understand company policies.
  2. Provide support to various departments as needed.

Skill and Qualifications

  1. This position is open to Saudi nationals as part of the Saudization program, in accordance with local labor laws and regulations.
  2. Bachelor’s degree in business administration, Public Relations, Human Resources, or a related field.
  3. At least 2-3 years of experience in office management, government relations, or a similar role.
  4. Familiarity with Saudi labor laws, visa procedures, GOSI, Saudization requirements, and government protocols.
  5. Familiarization in using government platforms such as Muqeem, Qiwa, and MOL.
  6. Experience in managing office operations, administrative teams, and interacting with senior management.
  7. Good communication skills in both Arabic and English (written and spoken), with the ability to handle negotiations and formal presentations with government authorities.
  8. Ability to manage sensitive legal and compliance-related matters with discretion and integrity.
  9. Advanced knowledge of office software, including MS Office Suite.
