Job description

Job Title: Executive Assistant to the CEO

Job Purpose: Responsible for providing comprehensive administrative support to the CEO, managing the CEO's schedule, coordinating meetings and events, handling correspondence, and ensuring the smooth operation of the CEO's office.

Key Accountability Areas

Calendar Management:

  • Scheduling and coordinating meetings, appointments, and travel arrangements.

Meetings Coordination:

  • Organizing and preparing materials for meetings, taking minutes, and following up on action items.

Correspondence Management:

  • Handling incoming and outgoing communication, including emails, letters, and phone calls.

Office Administration:

  • Managing the day-to-day operations of the CEO's office, including maintaining files and reviewing incoming documents.

Confidentiality:

  • Maintaining strict confidentiality of sensitive information and handling it with discretion.

Relationship Management:

  • Building and maintaining positive relationships with internal and external stakeholders, including executives, board members, and clients.

Project Support:

  • Assisting the CEO with special projects and assignments, research, and presentations as needed.

Team Coordination:

  • Collaborating with other members of the executive team and providing support as required.

Role Accountability

HR Proficiency:

  • Ability to recruit, recognize and cultivate high performers.
  • Ability to recognize low performers and guide them to improve.
  • Ability to treat subordinates equally without discrimination.
  • Assessment criteria of subordinates is performance that leads to planned results.
  • Ensure availability of delegation of authority matrix as per company policy.

Responsibility:

  • Take full responsibility for operations as per the job description and required deliverables.
  • Able to anticipate problems and take necessary proactive steps.
  • Ability to make timely decisions.

  • Deliver required results in a timely manner with quality and cost efficiency.

  • Make a tangible difference in the area of operation and exceed business expectations.

Business Planning and Performance:

  • Transform corporate goals into business plans.
  • Plan, follow-up, and execute those plans.
  • Monitor plan performance and initiate corrective actions.
  • Provide periodic work progress reports.
  • Monitor and control budgets to achieve optimum cost efficiency.

Organizational Development:

  • Develop organizational structure according to current requirements.
  • Ensure availability of job descriptions for all roles.

Business Process Improvements:

  • Develop, coordinate systems, policies, and procedures.
  • Promote automated systems and ensure full utilization.

Quality:

  • Quality is considered a prime competitive advantage; managers are expected to act accordingly.

Adaptation:

  • Adapt to new techniques, technologies, and business models.

  • Ensure a safe, secure, and legal work environment.

Qualifications

Academic Qualification: Bachelor Degree in Business Administration or relevant field

Work Experience: 6 to 10 Years

Technical / Functional Competencies: Ad Hoc Reporting, Calendar Maintenance, Presentation Preparation, Data Archiving, Document Filing, Issues Management, Problem Solving, Big Data Analytics, Presentation Best Practices, Work and Purchase Orders, Oral/Written Communications.
