Job Description

Office Manager (CEO Executive Secretary)
The job holder is responsible for organizing, facilitating, following up, and administering documentation, reports, meetings, and information that support communications, financial, administrative, performance, training, job travels, or human resources related to the CEO office.

  1. Provide assistance for CEO as required in word processing, transcription, information research, filing, taking and directing telephone messages, drafting memos, financial and other reports as appropriate.
  2. Facilitate and communicate with other parties or divisions regarding providing/requesting information, e.g., financial, performance, calendar, human resources, etc.
  3. Responsible for all the office supplies, computers, and other hardware requests and follow up on other facilities for the office by adhering to established policies and procedures.
  4. Responsible for filing any requested documents by the CEO in an easily traceable and suitable way, ensuring confidentiality.
  5. Arrange conferences and meetings for the office of the CEO that may involve other parties or divisions, and manage the room activities (if any).
  6. Perform data entry through the system whenever requested by the CEO, including word processing and spreadsheet activities; PowerPoint presentations.
  7. Reception of CEO guests, welcoming and assisting them with any available requests.
  8. Responsible for operating and maintaining office equipment; arrange for repairs when necessary, and make recommendations for new or additional office equipment as appropriate.
  9. Assist in developing and updating office policies and procedures.
  10. Execute all office administrative work for the CEO including scheduling appointments, processing mails, answering phones, ordering supplies, and necessary follow-ups.
  11. Coordinate all travel arrangements for the CEO; research and reserve flight and hotel bookings, rental car reservations in accordance with group policies to obtain the most appropriate travel that meets his schedule.
  12. Follow up, record, and supervise the attendance, vacation, and absence records for all employees under this office.
  13. Perform other administrative or office duties or projects as required or assigned.

Qualifications:

  1. Minimum Qualification: Diploma in Business Management or equivalent.
  2. Certification as Mechanic or Diagnostic Technician is preferred.
  3. Minimum Experience: 3-5 years of office management experience.
  4. Other Requirements:
  5. Excellent communication and interpersonal skills.
  6. Excellent planning, organizing, and prioritizing skills.
  7. Excellent knowledge of Microsoft packages.
  8. Fluency in Arabic and English; reading, writing, and speaking.
  9. Capable of preparing meetings and presentations.
