Job description

Duration: 7th April to 10th May

Job Summary:

The Logistics Coordinator will be responsible for managing all aspects of logistics planning, transportation, and inventory management, as well as coordinating the procurement and setup of furniture, fixtures, and equipment for the event. The ideal candidate will have a strong background in logistics management, exceptional organizational skills, and experience in FF&E procurement and coordination.

Responsibilities:

  • Develop and execute comprehensive logistics plans and schedules for the sporting event, including transportation, equipment delivery, and FF&E setup.
  • Coordinate with transportation providers to arrange for the timely arrival and departure of participants, staff, and equipment to and from the event venue.
  • Manage inventory of event supplies, equipment, and FF&E items, ensuring accurate stock levels and timely replenishment as needed.
  • Liaise with vendors, suppliers, and contractors to procure necessary FF&E items for the event, negotiating contracts and ensuring quality and cost-effectiveness.
  • Oversee the setup and arrangement of furniture, fixtures, and equipment at the event venue, ensuring compliance with event specifications and safety standards.
  • Coordinate with venue staff and contractors to facilitate the installation and removal of temporary structures, seating arrangements, and signage as needed.
  • Monitor logistics and FF&E operations during the event, addressing any issues or delays promptly and implementing contingency plans as needed.
  • Provide logistical support to event staff and volunteers, including distributing uniforms, credentials, and other necessary items.
  • Maintain accurate records of logistics activities, including inventory levels, transportation schedules, and FF&E procurement and setup.
  • Collaborate with other departments, such as operations, marketing, and finance, to ensure alignment of logistical and FF&E activities with overall event objectives.

Requirements:

  • Bachelor's degree in logistics, supply chain management, business administration, or a related field.
  • Proven experience in logistics coordination or management, preferably in the events or sports industry.
  • Strong knowledge of logistics principles, practices, and techniques, with experience in transportation management and inventory control.
  • Experience in FF&E procurement and coordination, including sourcing vendors, negotiating contracts, and managing installations.
  • Excellent organizational and multitasking abilities, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong communication and interpersonal skills, with the ability to work effectively with a diverse team of stakeholders.
  • Proficiency in logistics software and tools, such as transportation management systems and inventory management software.
  • Familiarity with local regulations and customs procedures related to transportation and logistics in Saudi Arabia.
  • Ability to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.

Preferred Qualifications:

  • Certification or training in logistics management or supply chain management.
  • Previous experience coordinating logistics for large-scale events or sports competitions.
