Job description

Job Objective

Manage all activities intended to handle employee relations across JCSA to ensure employee requests and complaints are adequately addressed and manage all tasks related to employee information, reward structures, updates to HR policies and procedures. Work collaboratively with other functions to group the efforts of the teams towards the achievement of JCSA’s strategic objectives.

Organizational Strategy

  1. Contribute to the development of the strategic and operational plan and manage the implementation of activities.
  2. Continuously monitor the performance of team members to ensure performance deviations are identified in a timely manner, and actions are implemented to meet performance targets.

Operational

  • Develop Employee Affairs plan, ensure its alignment with the directorate's strategy, and manage its implementation.
  • Ensure that all employee files are created, organized and updated (including employment contracts, promotions, recognitions, and policy violations).
  • Provide the financial operations team with the monthly salaries statement so they can proceed accordingly.
  • Work closely with legal affairs to ensure that employment contracts are compliant with laws and regulations.
  • Coordinate with health insurance providers to arrange for medical insurance and access cards for employees.
  • Maintain and update HR policies and procedures periodically to ensure that they are up-to-date and reflective of any changes in business, law or regulations, and communicate any changes in HR policies and procedures with all staff.
  • Work hand in hand with all functions to design, develop and implement onboarding and induction programs for new joiners to ensure they fully understand the main objectives of the club, its operating model, policies and procedures, and how they can contribute to the success of the JCSA’s strategic objectives and plans.
  • Work with the HR Development Manager to design and develop employee diversity and inclusion efforts to enhance culture at JCSA.
  • Review employee complaints/grievances and assist with conflict resolutions and confidential investigations of complaints, and provide recommendations for appropriate resolution of investigations.
  • Ensure exit interviews are efficiently run in order to gain valuable insights on employee departure.
  • Work in collaboration with HR Business Partners to understand and gather employee documents, requests and complaints.
  • Ensure the completion of activities on time, within budget and with quality.
  • Stay up-to-date with the latest trends and best practices related to employee wellbeing and engagement, and provide technical advice to improve work outcomes quality.

Policies, Procedures and Guidelines

Develop the function’s systems, policies, processes, and procedures.

Ensure team members’ compliance and adherence with all policies, processes, and standard operating procedures so that work is carried out in a controlled and consistent manner.

Management Reporting

Report to the director on the progress of activities against the annual business plans, opportunities, challenges and issues faced, mitigations taken, etc. as required, to make an informed decision.

Propose recommendations/alternatives based on analysis to senior-level management and provide direction on areas needing additional research or improvement.

People Supervision

  1. Work hand in hand with the direct reports to develop their personal development plans.
  2. Conduct and review performance appraisals for direct reports to identify areas of development and areas of strength.
  3. Identify the workforce, recruitment, training and development needs to ensure the availability and readiness of competent, qualified and highly motivated staff.
  4. Contribute to fostering an inclusive workplace where diversity and individual differences are valued and leveraged to achieve the vision and mission of JCSA.
  5. Help in building a learning organization that will continue to grow, flourish and enhance the skills and abilities of employees.
  6. Create an environment that facilitates healthy relationships among all team members.

Other Related Assignments

Perform other related duties or assignments as directed.

Conduct business in an ethical and professional manner and uphold and adhere to JCSA’s policies and procedures.

Required Education

  • Bachelor’s degree in business administration, Psychology or any other relevant field.
  • Professional Certification is a plus (e.g. SPHR, GPHR).

Required Years of Experience

Minimum of 7-10 years of experience in a similar role, 2 years of which are in a managerial role.
