We are currently seeking a dedicated HR Assistant to join our team in Jeddah, Saudi Arabia. The ideal candidate will be fluent in both Arabic and English, possessing a minimum of 5 years of experience in HR roles with a focus on onboarding and offboarding processes, managing visas and residency for expats, government HR-related portals, and HR data analysis using advanced tools.
What will you do?
- Manage the onboarding process for new employees, ensuring a smooth transition into the organization. This includes coordinating orientation sessions, preparing onboarding materials, benefits enrollment, and facilitating introductions to key team members.
- Collaborate with the HR team to develop and implement onboarding and offboarding best practices, ensuring compliance with company policies and local regulations.
- Coordinate with relevant departments to ensure timely completion of onboarding and offboarding tasks, such as IT setup, access permissions, and benefits enrollment.
- Serve as a point of contact for employees regarding HR-related inquiries, policies, and procedures.
- Handle the management of visas and Iqamas for expatriate employees, ensuring compliance with local regulations and timely renewals.
- Maintain accurate HR records, including personnel files, and other relevant documentation.
- Manage government HR-related portals, ensuring accurate and timely submission of required documents and information.
- Conduct HR data analysis to identify trends, provide insights, and recommend improvements in HR operations and strategies.
- Create and present HR reports and dashboards using advanced analytics tools (e.g., Excel, Power BI, Tableau).
- Assist in the development and delivery of training programs for employees on HR-related topics, such as compliance, diversity, and inclusion.
- Stay informed about changes in labor laws and regulations, providing guidance and support to ensure compliance.
- Support HR initiatives and projects as needed, contributing to the overall success of the HR department and the organization.
- Oversee the offboarding process for departing employees, conducting exit interviews, collecting company property, benefits deregistration, and processing necessary paperwork.
Experience and Education Required:
- Bachelor's degree in Human Resources, Business Administration or related field.
- Minimum of 5 years of experience in HR roles, with a focus on onboarding and offboarding processes, managing visas and Iqamas for expatriates, government HR-related portals, and HR data analysis.
- Fluent in Arabic and English, with excellent communication skills both verbally and in writing.
- Proficient in Microsoft Office products (Word, Excel, PowerPoint, Outlook).
- Experience with HR-related software applications and data analysis tools such as Power BI, Tableau, or similar platforms.
- Strong analytical and problem-solving skills, with the ability to interpret HR data and provide actionable insights.
- Knowledge of statistical methods and key HR metrics such as turnover rates, employee engagement, and workforce planning.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Attention to detail and accuracy in HR documentation and processes.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Excellent interpersonal skills with the ability to build rapport and establish effective working relationships across all levels of the organization.
- Proactive, self-motivated, and able to work effectively both independently and as part of a team.
