Provides complete support for all office activities for the supervisor of the assigned area.
Essential Responsibilities and Duties
- Controls the conduct of all general affairs which affect the supervisor of the assigned office.
- Serves as primary contact for persons seeking appointments with the assigned supervisor, arranging such appointments to avoid unnecessary interruptions with the supervisor's schedule and referring visitors or telephone callers to subordinate personnel as necessary.
- Screens incoming mails and re-routes to other units for action where appropriate.
- Composes replies to correspondence for supervisor's signature.
- Maintains confidentiality of information and correspondence.
- Takes and transcribes a variety of correspondence and compiles periodic reports on board instruction from supervisor and handles routine queries personally.
- Takes minutes as instructed by supervisor and utilizes computers for a variety of activities.
- Provides routine information from records to other Hospital units as requested.
- Handles minor administrative matters based on knowledge and judgment regarding Hospital regulations and policies and completes project assignments as requested.
- Maintains the record of current Hospital policies and procedures.
- Establishes and maintains a variety of files and other office systems necessary for the performance of the work.
- Prepares the monthly payroll time sheet, supply requisitions through Oracle, and consolidates departmental reports.
Education
Bachelor’s or Associate Degree / Diploma in Business Administration, English Language, Secretarial field, or related discipline is required.
Experience Required
Two (2) years of secretarial experience with a Bachelor’s Degree or four (4) years with a Diploma is required.
Other Requirements (Certificates)
Formal training in MS Word, MS Excel, and MS Access is required.
Required Typing Skills: Bilingual: Arabic typing: 30 WPM, English typing: 40 WPM; Non-Bilingual: English typing: 45 WPM. Saudi National is preferred.
