Job description

The Client:

Our client is a fast-growing industrial manufacturing brand with a strong foothold in Saudi Arabia. We are looking for a strategic and commercially driven Head of Administration to lead and transform the company’s administrative and operational functions.

The Role:

As the Head of Administration, you will play a key leadership role, ensure the seamless execution of all administrative processes while aligning with the company's commercial goals and compliance standards. This role demands a hands-on leader with deep experience in factory operations, facility management, security, insurance, and government regulations. Your focus will be on optimizing internal processes, improving operational efficiency, and supporting overall business performance.

  • Oversee factory and plant administration, optimizing fleet and transportation operations including vehicle registration, route planning, and fuel efficiency.
  • Ensure legal compliance in all transportation certifications and daily logistics.
  • Implement robust security protocols for company assets, premises, and personnel.
  • Collaborate with safety officers to enforce workplace safety and health standards across facilities.
  • Maintain asset inventory and ensure lifecycle management, maintenance, and optimal utilization.
  • Supervise all facility-related functions including utilities, maintenance, repairs, and improvements.
  • Administer and renew all insurance policies covering assets, personnel, and operations; handle claims as required.
  • Manage accommodation and logistics for employees and project teams, ensuring cost-effectiveness and vendor coordination.
  • Lead cross-functional administrative projects such as office relocations, audits, and process improvements.
  • Liaise with regulatory bodies to secure all required licenses, certifications, and renewals in compliance with local laws.
  • Build and develop a high-performing administration team with clear KPIs and growth paths.
  • Monitor and manage department budgets, identify cost-saving opportunities, and support financial forecasting.

The Ideal Candidate:

  • Bachelor’s degree in Business Administration, Management, or a related field; Master’s degree is a plus.
  • 8–10+ years of progressive experience in administrative and operations roles, including at least 5 years in a senior leadership capacity.
  • Strong expertise in factory/fleet operations, facility and asset management, risk/insurance administration, and regulatory compliance.
  • Proven track record of streamlining administrative operations and improving cost efficiency.
  • Demonstrated leadership skills in managing diverse teams across multiple departments.
  • Strong project management skills with a strategic and commercially oriented mindset.
  • Excellent interpersonal, stakeholder engagement, and problem-solving abilities
  • Proficient in Microsoft Office Suite and experienced with ERP or administrative software platforms.
  • As per government regulations, local talents would be highly preferred.
