Job description

Job Title: Executive Secretary

Department: Finance and Accounting

Career Objective: Organizing appointments, preparing memos, conducting correspondence, attending meetings, writing minutes, preparing and submitting work reports.

Job Duties:

  1. Work to implement policies and procedures for issuing documents, workflow, filing, organizing supplies, maintaining records, and other clerical services related to the tasks of the administrative unit.
  2. Implement various administrative and office tasks for the administrative unit, including photocopying, printing, receiving, and arranging messages, in addition to ensuring the availability of office and technical supplies for the direct manager.
  3. Receive incoming correspondence to the administrative unit and prepare appropriate responses whenever possible, directing issues that require action by departments/divisions and following them up to ensure their effective completion.
  4. Prioritize reports and decisions that need to be reviewed by the direct manager.
  5. Issue periodic reports for the work of the administrative unit.
  6. Perform any other tasks assigned by the direct manager.

Technical Skills:

  1. Preparing reports and presentations.
  2. Effective communication and setting work priorities.
  3. Taking initiative.

Educational Requirements:

Bachelor's degree in Secretarial, Business Administration, Office Administration, Office Management, Public Administration, or a related specialty.

Years of Experience: At least 2 years of experience in the field.
