Job description
  • The Senior Assistant to the General Manager (GM) will provide comprehensive executive support, ensuring the smooth operation of the GM's office and enhancing their ability to make strategic decisions. This role involves managing communications, coordinating projects and meetings, and assisting with the development of key reports and strategic documents. The Senior Assistant will serve as the primary point of contact between the GM and internal/external stakeholders, ensuring timely and effective responses to requests, while maintaining confidentiality and professionalism. The role is integral to optimizing the GM's productivity and supporting the achievement of organizational goals.

Job Description & Responsibilities:

Administrative Support:

  • Manage the GM's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prioritize and respond to incoming requests and communications on behalf of the GM.
  • Prepare and edit correspondence, reports, presentations, and other documents as required.
  • Ensure efficient organization of office operations and procedures, maintaining a high level of confidentiality and professionalism.
  • Act as the GM's point of contact with internal and external stakeholders.

Coordination and Communication:

  • Serve as the primary liaison between the GM and other departments, ensuring smooth communication and collaboration.
  • Coordinate meetings, including preparation of agendas, minutes, and follow-up actions.
  • Organize and manage internal and external events as needed, ensuring all logistics are handled effectively.
  • Keep the GM informed of key developments and ensure timely decision-making processes.

Project Management and Reporting:

  • Assist with the management of key projects, ensuring deadlines and objectives are met.
  • Monitor the progress of projects and initiatives and provide regular updates to the GM.
  • Prepare performance reports and provide analysis for the GM to support decision-making.
  • Assist in preparing strategic documents, presentations, and communications for key meetings and stakeholders.

Team Support and Leadership:

  • Provide leadership and guidance to junior administrative staff, ensuring effective team collaboration.
  • Support the GM in managing team schedules, tasks, and priorities.
  • Assist with the onboarding and training of new team members as necessary.

General Management:

  • Oversee and maintain office supplies and equipment, ensuring the GM's office is well-organized and fully functional.
  • Handle confidential and sensitive information with the utmost discretion.
  • Perform other duties as required to support the GM and the overall objectives of the organization.

Qualifications & Experience:

  • Bachelor's degree in Business Administration, Management, or a related field. Master's degree preferred.
  • Professional certification in office management or administration (e.g., CAP, PMP) is a plus.
  • 7+ years of experience in administrative or executive support roles, with at least 3 years in a senior assistant or executive assistant position.
  • Experience working directly with senior management or executive leadership teams.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational, multitasking, and problem-solving skills.
  • Exceptional communication and interpersonal skills, with the ability to liaise effectively with internal and external stakeholders.
  • Strong attention to detail and a proactive approach to task management.
  • Ability to manage sensitive information with confidentiality and professionalism.

Preferred Skills:

  • Previous experience in a fast-paced environment or with senior-level executives is preferred.
  • Knowledge of office procedures, business operations, and basic project management principles.

Additional Information:

  • Fluent in Arabic and English, both written and spoken.
