Job Description

Purchase Order Management:

  1. Assist in the creation and processing of purchase orders (POs).
  2. Review and verify purchase requisitions and orders to ensure compliance with internal policies.
  3. Track and follow up on purchase orders to ensure timely delivery and minimize delays.

Supplier Management:

  1. Establish and maintain relationships with vendors and suppliers.
  2. Communicate with suppliers to negotiate prices, terms, and delivery schedules.
  3. Monitor supplier performance to ensure adherence to quality standards, delivery timelines, and contractual agreements.

Data Entry and Documentation:

  1. Maintain accurate records of purchases, receipts, invoices, and payment details.
  2. Update procurement databases and systems, ensuring that data is up-to-date and accessible.
  3. Generate reports on procurement activities, including purchasing trends and cost analysis.

Budget and Cost Control:

  1. Assist in managing the procurement budget by tracking expenditures and identifying cost-saving opportunities.
  2. Analyze pricing and seek alternative suppliers to ensure competitive pricing and optimal quality.

Compliance and Risk Management:

  1. Ensure that all procurement activities comply with organizational policies, regulatory requirements, and ethical standards.
  2. Assist in monitoring and managing risks associated with supply chain disruptions and supplier performance issues.

Communication and Collaboration:

  1. Work closely with internal departments (Operations, finance, logistics) to understand procurement needs and ensure alignment with business goals.

Skills

  1. Excellent communication and negotiation skills for building and maintaining strong relationships with suppliers.
  2. Collaboration across cross-functional teams, including finance, operations, and quality control.
  3. Comprehensive knowledge of market trends, pricing fluctuations, and emerging procurement technologies.
  4. At least 3 years of hands-on experience in procurement or supply chain management.
  5. Ability to devise procurement strategies that resonate with company aims.
