Fitting Coordinator
Job description
Responsibilities:
- Communications with carriers, suppliers, warehouses, custom brokers, and others involved in the shipping and delivery of consignments.
- Control the expenses in the supply chain process, ensuring that unwanted expenses are controlled and nullified.
- Ensure that all parties are working together to guarantee that shipments are packed well, sent, and delivered in a timely manner.
- Ensure that all incoming shipments are entered into the system live upon arrival of the container from the factory.
- Reporting, organizing, and controlling all structures of cargo movements and various logistics operational issues.
- Updating and maintaining records of all orders, payments, and received stock.
- Manage activities throughout the order fulfillment and transportation cycle to ensure established deadlines are met.
- Negotiate prices with logistics companies/shipping lines and freight forwarders to ensure the best market rate.
- Track and monitor shipments to ensure on-time delivery.
- Forward and follow-up shipment invoices to accounts for payment.
- Update stakeholders on the status of their shipments in transit.
- Design, implement, and manage contracts in forwarding, transport, and warehousing where necessary.
- Develop key performance indicators for managing localized logistics contracts.
- Equal distribution of work among the staff; right person for the right job.
- Systematically and strategically manage in accordance with company policies and vision.
- Respond to any queries raised by other departments in case of urgency.
- Schedule, assign, and plan work rotas and their implementation.
- Coach employees for future endeavors.
- Ensure 100% Purchase Orders (PO) are issued from SAP before placing an order for Import and Local.
- Feed all required information in SAP (e.g., Production Start Date, date of on board, ETA to warehouse).
- Ensure CBM/Weight calculations are made available in PO.
- Ensure each vendor makes 100% delivery for each PO; no partial delivery is allowed.
- Ensure all customer orders are input accurately and correctly.
- Liaise with seller and showroom manager personnel to ensure all products arrive in good condition.
- Check & update delivery timing schedule, spare parts, and determine product quality.
- Track orders and shipments from other countries to Saudi Arabia and ensure timely delivery to port and warehouse.
- Close all orders after arrival at the warehouse and ensure goods receipt is created in the system.
- Work closely with sales for any changes in design or updates.
- After clearance, ensure all documents are handed over to finance for payment and ensure empty containers are returned.
- Assist showroom with follow-ups and queries.
- Ensure that daily routine work is completed in a timely manner.
- Ensure all international orders are entered on time.
- Ensure that order confirmations are correct before proceeding with payment.
- Ensure that all documents are filed properly.
- Be self-motivated and experienced with data entry and coordination of tasks; logistics knowledge in retail is preferred.
- Ensure all PR final approval once relevant details are mentioned correctly by sales.
- Ensure all invoices related to local and overseas are duly submitted to finance for payment without delay.
Skills:
- Essential: Diploma in a related field.
- Preferred: Knowledgeable in government regulations for shipping, distribution, and customs documentation.
- Strong understanding of relevant procurement and logistics systems and procedures.
- Ability to maintain good relationships with all service providers and respond to their demands.
- Must achieve company goals within operational resources.
- SAP Business One experience.
- Very good level of IT skills and proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams).
