Role Summary:

A Sales Administrative Assistant who provides high-level administrative support to executives in the workplace, such as taking calls, scheduling meetings, managing executive requests, and other office duties.

Responsibilities:

  1. Communication Management:
    • Daily Communication: Alignments between corporate Head office and branch.
    • Meetings: Monitor the agendas, MOM, and follow up on action points.
  2. Tracking Reports:
    • Monthly Expense Reports: Reminders for submission timelines.
    • Sales Reports: Automate downloads or set routines for their compilation, ensuring accessibility to relevant stakeholders.
    • Sales Expiries Requests: Develop a standardized form for expiry requests. Use a shared tracker for approvals and delegate follow-ups systematically with the executive sales assistant.
    • Hotel Invoices & Travel Arrangements: Maintain a tracker for monitoring hotel invoices. Keep a travel checklist to ensure all aspects (tickets, visas, itineraries) are covered.
    • Courier Shipments: Implement a courier log for tracking shipments. Use tools like Excel or Trello for real-time updates and maintain a list of preferred courier services for efficiency.

Qualifications:

  • 3+ years of full-time experience in the same field.
  • Degree in business administration or a related field.
  • Proven experience in a similar administrative role.
  • Proficient in MS Office and back-office software (e.g., ERP).
  • In-depth knowledge of office management.
  • Excellent organizational, time-management skills and communication abilities.
  • Fluency in Arabic & English languages.
  • Saudi Nationality.
