Detailed Summary

This role is responsible for overseeing the administration needs of projects and programs, working within all stages of project management, and organizing stakeholder meetings. The individual will also be tasked with documenting actions and decisions from meetings, preparing presentation materials, and ensuring project deadlines are met.

Key Responsibilities:

  • Project Administration: Oversee the administration needs of projects and programs.
  • Project Management: Work within all stages of project management.
  • Stakeholder Meetings: Organize, attend, and participate in stakeholder meetings.
  • Action Documentation: Document and follow up on important actions and decisions from meetings.
  • Presentation Materials: Prepare necessary presentation materials for meetings.
  • Project Deadlines: Ensure project deadlines are met.
  • Framework Adherence: Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Initiative Coordination: Coordinate and track the activities of assigned initiatives and projects.
  • Project Implementation: Support the implementation of all activities of the project in accordance with PMO and AHG strategic plan.
  • Project Statistics: Compile, maintain, and report on monthly, quarterly, and annual project statistics.
  • Presentation Preparation: Prepare presentations, screen correspondence (phone calls, email), and handle requests for information and answer questions about the project if required.
  • Workshop Coordination: Assist with coordinating workshops, conferences, and related activities.
  • Project Calendar: Create a project management calendar for fulfilling each goal and objective.
  • Purchasing Requirements: Coordinate Purchasing Requites Process for the PMO.
  • PMO Support: Provide support for the PMO including new project set up, security role changes, documentation management.
  • Project Resource Changes: Coordinate project resource changes, including space, equipment, and update of project documentation.
  • Business Development: Acquire follow-on business associated with assigned projects and support new business development by leading relatively small proposals or assisting with major proposals.
  • Single Point of Contact: Be the single point of contact for assigned projects.

Qualifications:

  • Diploma in Business Administration or related field (preferably Bachelor's Degree).

Experience:

  • One year of experience (ideally in the healthcare-related field).

Specialized Skills:

  • Familiarity with the health care industry.
  • Knowledge of project or program management.
  • Excellent writing skills for correspondence, summary, and progress reports, editing.
  • Demonstrated capability for problem-solving, sound judgment, assertiveness.
  • Excellent oral and written communication skills as well as excellent presentation skills with the ability to conduct presentations comfortably to large groups.
  • Ability to multitask, prioritize, and manage different assignments.

Competence:

  • Strong communication skills with demonstrated ability to write formal documents and clear concise business communications to multiple audiences.
  • Creative and self-starter.
  • Identify, prioritize, monitor, communicate, and/or resolve elements that can impact a project with minimal guidance.
  • Flexible, adaptable, and resourceful.
