Job description
Documents Control Assistant Manager - Gulf International Bank
Provide necessary assistance in the development of the work process by highlighting gaps, breaches, and negative feedback.
Support department staff with day-to-day activities.
Review and process agreements and related collateral documents, ensuring compliance with initial details and approvals.
Assist Department Head in addressing all related business requests in a timely manner and ensure adequate turnaround time is established.
Ensure a robust process for the safe custody and control of all security documents.
Supervise, coach, and train staff in the Credit Documentation Unit, addressing queries on Bank's products and seeking solutions to their requests.
Review and coordinate necessary credit documentation as per the bank's internal policy and procedures manual.
Maintain documentation files and records in a timely, complete, indexed, and up-to-date manner.
Control all customer documentation files inflow/outflow to the Bank's main fireproof vault.
Monitor and escalate all pending items related to documentation deficiencies.
Control credit documentation expiries and maturities reminders by coordinating with respective Relationship Manager.
Additional Responsibilities
Liaise with internal legal for any legal matters and resolutions.
Review all credit support and/or collateral documentation in accordance with credit approval and Collateral Management Policy.
Monitor and escalate pending items related to financial covenants.
Assist in quality self-assessment testing for the department and/or any other department within CAD Operations.
Report all collaterals on a monthly basis and assess values in distressed cases.
Create collateral account tickler reports related to all collateralized facilities.
Review and monitor the monthly document deficiency report for missing documents.
Handle additional tasks and projects assigned to CAD Operations by line manager or head.
Ensure facility documents are safely kept in the fireproof vault.
Supervise the revalidation of all perfected security/credit related documents to ensure proper execution for enforceability.
Ensure compliance with all pre-drawn down conditions prior to facility drawdown.
Collateral Management
Accountable for managing collateral risk to the bank by obtaining, analyzing, researching, reviewing, and evaluating necessary collateral reports and information.
Evaluate all reports and information regarding collateral verification to determine compliance with credit approvals.
Negotiate and provide input into the decision process, making appropriate documentation decisions.
Assist in portfolio maintenance and loan administration in accordance with bank policies.
Ensure all documents adhere to necessary Bank policies, regulatory, and legal compliance codes and statutes.
Skills
Excellent communication skills in English; Arabic language skills preferred.
Result-driven, hands-on, dynamic with the ability to work in a sales-oriented environment.
Strong interpersonal, communication, and presentation skills; good negotiator.
