Job Purpose:
To manage and organize a company's documents, ensuring that they are stored, accessed, and processed efficiently and accurately, maintaining document control systems, managing document distribution, and ensuring that documents comply with company policies and ISO 9001 standard and being an expert on the Aconex System.
Key Accountability Areas:
- Skills: Good working knowledge of Office software (Excel, Word, PowerPoint, Outlook) and a good level of Computer Literacy and knowledge of ISO 9001 standards and regulatory requirements.
- Version Control: Input document data into the standards registers ensuring that the information is accurate and up to date, monitoring Log Status.
- Confidentiality and Security: Maintaining confidentiality and data security measures for sensitive documents and information, including implementing access controls and encryption where necessary.
- Document Retrieval and Archiving: Facilitating the retrieval of documents as needed, maintaining organized archives, and implementing retention schedules.
- Compliance and Audit: Perform regular audits of document control processes to ensure compliance with regulatory requirements as per ISO standards.
- Aconex Expert: Should have practical experience on the Aconex System.
Role Accountability:
- Document Management: Establish and maintain efficient document control procedures to ensure all incoming and outgoing documents are stamped by the company.
- Document Tracking: Tracking the flow of documents throughout their lifecycle, including creation, review, approval, distribution, and archiving.
- Document Control Systems: Implementing and maintaining document control systems, such as document management software (DMS) or electronic document control systems, to facilitate document tracking, version control, and access permissions.
- Communication: Ability to work independently and collaboratively in a fast-paced environment, conveying complex information clearly and concisely, both in documentation and during interactions.
Academic Qualification:
Bachelor's Degree in Administration Institute
