Responsibilities

  1. Office supplies, equipment, and inventory management.
  2. Office administrative assistance, mail distribution, and messenger services.
  3. Managing communication systems (i.e., telephone systems, etc.) and copy services.
  4. Ensuring the office operates in compliance with health and safety legislation and regulations.
  5. Facilities management, including administering the office lease/rental contract and equipment of office workstations.
  6. Managing the reception.
  7. Cleaning, gardening, and maintenance services.
  8. Cafeteria and recreation services.
  9. Monitoring and following up on the office service management budget.
  10. Liaising with functional or operational managers to ensure that office administration guidelines, procedures, tools, and systems are appropriate for current and future business needs.
  11. Studying, evaluating, and recommending office supplies and equipment purchases to minimize costs and meet the organization’s business needs.
  12. Selecting and managing ongoing relationships with external suppliers (for example, cleaning or maintenance contractors or equipment vendors) to ensure the organization receives satisfactory standards of service.
  13. Managing an office relocation process if required.
  14. Managing travel arrangements and booking activities in the unit.

Document Management and Control

Accountability: Ensure all project documentation is correctly managed, stored, and accessible.

Responsibility:

  1. Implement and maintain document control processes and systems.
  2. Ensure the proper classification, filing, and retrieval of documents.
  3. Maintain a master document register and ensure it is up to date.

Version Control

Accountability: Guarantee that only the latest approved versions of documents are in use.

Responsibility:

  1. Track document revisions and ensure that changes are properly recorded and authorized.
  2. Distribute updated documents and ensure obsolete versions are marked or removed.

Coordination and Communication

Accountability: Facilitate effective communication and coordination regarding documentation across the project team.

Responsibility:

  1. Coordinate the flow of documents between project stakeholders, including internal teams, clients, and contractors.
  2. Act as the main point of contact for document-related queries and issues.

Reporting and Documentation Tracking

Accountability: Provide accurate and timely reporting on document status and issues.

Responsibility:

  1. Generate reports on document control activities, including document status, distribution, and outstanding issues.
  2. Monitor document workflows to ensure timely processing and approvals.

Minimum Qualifications:

  1. Bachelor’s Degree in any relevant field.
  2. Minimum 2 years of experience with a proven track record in a similar role.
  3. SAP is a must.
  4. Very good English language skills.
  5. Strong leadership skills and ability to manage teams on site.
  6. Customer centric with excellent communication skills.
  7. Due to labour law regulations, this role is open only for SAUDI nationals.
