Responsibilities
- Office supplies, equipment, and inventory management.
- Office administrative assistance, mail distribution, and messenger services.
- Managing communication systems (i.e., telephone systems, etc.) and copy services.
- Ensuring the office operates in compliance with health and safety legislation and regulations.
- Facilities management, including administering the office lease/rental contract and equipment of office workstations.
- Managing the reception.
- Cleaning, gardening, and maintenance services.
- Cafeteria and recreation services.
- Monitoring and following up on the office service management budget.
- Liaising with functional or operational managers to ensure that office administration guidelines, procedures, tools, and systems are appropriate for current and future business needs.
- Studying, evaluating, and recommending office supplies and equipment purchases to minimize costs and meet the organization’s business needs.
- Selecting and managing ongoing relationships with external suppliers (for example, cleaning or maintenance contractors or equipment vendors) to ensure the organization receives satisfactory standards of service.
- Managing an office relocation process if required.
- Managing travel arrangements and booking activities in the unit.
Document Management and Control
Accountability: Ensure all project documentation is correctly managed, stored, and accessible.
Responsibility:
- Implement and maintain document control processes and systems.
- Ensure the proper classification, filing, and retrieval of documents.
- Maintain a master document register and ensure it is up to date.
Version Control
Accountability: Guarantee that only the latest approved versions of documents are in use.
Responsibility:
- Track document revisions and ensure that changes are properly recorded and authorized.
- Distribute updated documents and ensure obsolete versions are marked or removed.
Coordination and Communication
Accountability: Facilitate effective communication and coordination regarding documentation across the project team.
Responsibility:
- Coordinate the flow of documents between project stakeholders, including internal teams, clients, and contractors.
- Act as the main point of contact for document-related queries and issues.
Reporting and Documentation Tracking
Accountability: Provide accurate and timely reporting on document status and issues.
Responsibility:
- Generate reports on document control activities, including document status, distribution, and outstanding issues.
- Monitor document workflows to ensure timely processing and approvals.
Minimum Qualifications:
- Bachelor’s Degree in any relevant field.
- Minimum 2 years of experience with a proven track record in a similar role.
- SAP is a must.
- Very good English language skills.
- Strong leadership skills and ability to manage teams on site.
- Customer centric with excellent communication skills.
- Due to labour law regulations, this role is open only for SAUDI nationals.
