Job description

Job Purpose

The Coordinator provides administrative and logistical support to ensure the smooth execution of technical operations, productions, or events. This role involves coordinating schedules, handling documentation, liaising with technical teams and vendors, and ensuring that all technical requirements are met for successful project delivery. The Coordinator also supports the team in maintaining compliance with operational procedures and quality standards.

Functional Accountabilities:

Administrative & Logistical Support

  • Coordinate schedules, meetings, and appointments for the technical team, ensuring effective time management and resource allocation.
  • Maintain and update documentation, including technical reports, project plans, and inventory records, ensuring accuracy and completeness.
  • Support in tracking and managing the availability of technical equipment, materials, and supplies required for operations and events.

Operational Coordination

  • Assist in the planning and execution of technical operations, productions, or events by liaising with internal teams, contractors, and vendors.
  • Coordinate the setup, testing, and breakdown of technical equipment, ensuring that all systems and components are functioning properly.
  • Monitor technical operations and provide real-time support to resolve any logistical or administrative issues that may arise.

Vendor & Stakeholder Management

  • Communicate and coordinate with vendors and suppliers to ensure the timely delivery of technical materials and services.
  • Support the procurement process by obtaining quotes, tracking orders, and managing delivery schedules for technical equipment and supplies.
  • Assist in evaluating vendor performance and providing feedback to maintain high-quality service standards.

Compliance & Quality Assurance

  • Ensure that all technical operations are conducted in accordance with established SOPs, safety regulations, and quality standards.
  • Maintain accurate records of technical activities, inspections, and compliance checks for auditing and reporting purposes.
  • Support the implementation of quality control measures to ensure consistency and compliance across all technical projects.

Guest Experience

  • Contribute to a positive guest experience by supporting the seamless execution of technical operations, productions, or events.
  • Coordinate with guest services teams to ensure technical requirements align with guest needs and expectations.
  • Address any technical issues that may impact guest experience, working with the technical team to implement quick and effective solutions.

Minimum Qualifications

  • Bachelor’s degree in Business Administration, Technical Operations, or a related field.

Professional Certifications

  • Certification in Project Coordination or Technical Support is a plus.

Required Experience

  • Minimum of 2-3 years of experience in an administrative or coordination role, preferably within a technical or operations environment.
  • Strong organizational and multitasking skills, with experience in supporting technical or production teams.
