Job Summary:

The Centre Manager is responsible for overseeing the daily operations of a dental clinic within a large network of dental clinics. This role involves ensuring the efficient running of the clinic, maintaining high standards of patient care, managing staff, and achieving financial and operational targets. The Centre Manager will serve as the primary point of contact for both patients and staff, ensuring that the clinic meets both its clinical and business objectives.

Key Responsibilities:

  1. Clinic Operations Management:
    Oversee the daily operations of the clinic, ensuring that all processes run smoothly and efficiently.
    Implement and adhere to Standard Operating Procedures (SOPs) to maintain high standards of service delivery and operational efficiency.
    Monitor and manage patient flow, ensuring minimal wait times and a positive patient experience.
  2. Staff Supervision and Development:
    Lead, supervise, and support clinic staff, including dental assistants, hygienists, receptionists, and other administrative personnel.
    Conduct regular staff meetings, training sessions, and performance reviews to ensure continuous staff development.
    Address any staffing issues such as scheduling conflicts, absenteeism, or performance concerns.
  3. Patient Relations and Experience:
    Ensure a high level of patient satisfaction by addressing concerns, resolving complaints, and enhancing the overall patient experience.
    Act as the main point of contact for patient inquiries, providing information and support as needed.
    Manage patient feedback and implement improvements based on patient suggestions and complaints.
  4. Financial Management:
    Oversee the financial performance of the clinic, including revenue management, expense control, and profitability.
    Manage billing and payment processes, ensuring accuracy and timely collection of payments.
    Prepare and submit regular financial reports to the Regional Operations Manager.
  5. Compliance and Quality Assurance:
    Ensure the clinic is compliant with all local, state, and federal regulations, as well as internal company policies.
    Conduct regular audits of clinical practices, record-keeping, and safety protocols.
    Implement and monitor infection control practices, ensuring a safe and sanitary environment for patients and staff.
  6. Inventory and Supply Management:
    Monitor and manage the clinic’s inventory of dental supplies and materials, ensuring adequate stock levels.
    Coordinate with suppliers for the timely ordering of supplies and equipment, while managing costs effectively.
  7. Technology and Data Management:
    Oversee the use and maintenance of the clinic's electronic health records (EHR) system, ensuring data accuracy and security.
    Ensure compliance with data protection regulations and company policies on patient confidentiality.
  8. Business Development and Marketing Support:
    Collaborate with the marketing team to promote the clinic’s services and attract new patients.
    Identify and implement local outreach opportunities to increase patient footfall and community engagement.
  9. Crisis Management:
    Develop and implement contingency plans for emergencies, including medical emergencies, natural disasters, or operational disruptions.
    Act swiftly in crisis situations, ensuring the safety of patients and staff while maintaining clinic operations.

Qualifications:

  1. Education:
    Bachelor’s degree in Business Administration, Healthcare Management, or a related field is preferred.
    Additional qualifications in Dental Practice Management or similar are advantageous.
  2. Experience:
    Minimum of 3-5 years of experience in a management role within a healthcare setting, preferably in a dental clinic.
    Proven experience in managing a team, financial oversight, and operational management.
  3. Skills:
    Strong leadership and team management skills.
    Excellent communication and interpersonal skills.
    Proficiency in using healthcare management software and electronic health records (EHR) systems.
    Strong organizational and problem-solving abilities.
    Knowledge of dental clinic operations, including clinical procedures, patient management, and healthcare regulations.

    Ability to work under pressure and manage multiple tasks effectively.

Working Conditions:

  1. Full-time position with the expectation to work flexible hours, including some weekends or evenings as required.
  2. The role is based within the clinic, with occasional travel to other clinics or the head office for meetings and training.
