In this role, you will be responsible for a variety of administrative tasks, including managing calendars, organizing files, preparing documents, coordinating meetings, and providing general office support. Responsibilities

  1. Maintains daily calendar of Dept/Div. Head
  2. Attends to the phone calls
  3. Receives visitors and refers other matters to appropriate personnel
  4. Sets meeting schedule and books a meeting room
  5. Processes gate pass requests through VMS
  6. Creates Miscellaneous Payments through MPS
  7. Organizes catering for meetings
  8. Requests corporate services through CRM system
  9. Requests taxi services through DILIP system
  10. Collects weekly and quarterly highlight reports
  11. Handles office store of stationery and other supplies
  12. Creates B2B shopping cart, searches for items in the B2B catalog
  13. Follows up on any order in B2B that requires delivery as soon as possible
  14. Fills the online time sheet and e-leave application
  15. Verifies time data and leave requests
  16. Creates yearly time sheet with all possible leave options
  17. Initiates the business travel request for an employee
  18. Requests for the travel services required
  19. Creates Expense Report for an employee
Requirements

  1. Associate Diploma or Higher Level is preferred. High School level or equivalent acceptable to Saudi Aramco
  2. Minimum 3-5 years relevant experience working as a Secretary, Reception Assistant, or help desk, preferably with expeditor skills
  3. Able to operate a computer with Microsoft Basic and able to operate basic office equipment
  4. Ability to listen to phone calls carefully and transmit messages effectively
  5. Good understanding of English and speaking ability to enable effective written or verbal interpretation of messages clearly
