Administrative Assistant

1. Ensure the safety aspects for the position are executed by utilizing the APQ Basic Safety Practice program, which includes office safety audits, safety work permits, management of change, etc.
2. Comply with APQ and local safety, health and environment standards, to fulfill the mandatory safety requirement and activities for the front office.
3. Manage the Site Leadership's calendars and their direct reports as required, schedule meetings, and take meeting minutes when required.
4. Assist with daily, weekly, monthly, and yearly reports as required.
5. Develop Excel, PowerPoint, and Word Documents for meetings and correspondence.
6. Use SAP (or equivalent platform) for travel management, purchase requisitions, and timesheet management.
7. Utilize Project Management skills to perform the tasks for the role.
8. Prepare and control support of monthly expenses.
9. Organize team events.
10. Assist with booking reservations for new arrivals and visitors to the office and sites.
11. Manage the contracts for support services, including reviewing the monthly invoices.
12. Arrange and plan transportation for new employees and visitors.
13. Supervise all company cars needs and activities:
1. Car Needs: Fueling, cleaning, maintenance & contracts.
14. Process gate passes per the individual site's work processes for the Operations and Maintenance Organization, visitors, and contractors.
15. Coordinate with the Government Relations Office to ensure site employee government documents are current.
16. Manage and track site consumable items.
17. Manage and oversee the buildings to keep them properly maintained, clean, and a safe work environment. Ensure that a building's services meet the needs of the staff it houses.
