The Administration Support Manager is responsible for managing TransCo's office administrative services, office space allocation, employee services, and government relations ensuring timeliness and quality of services.
Key Roles and Responsibilities
Contribute to the development of General Services plan and develop operational plan of the Administration Support according to set objectives.
Develop Administration Support key performance indicators and continuously monitor progress towards operational plan.
Implement Administration Support framework, methodologies, techniques and principles.
Ensure that Administration Support operational plan is well communicated and understood at all levels.
Optimize resources and ensure team is efficient and provide recommendations for improvement.
Develop budget requirements for Administration Support ensuring alignment to plans and needs.
Develop procedures ensuring all actions are conducted in a systematic manner.
Take operational decisions and escalate key decisions to senior management when required.
Ensure provision of office supplies for employees through coordinating with Procurement to optimize administrative services.
Sign payment approval certificates upon receiving required invoices (phone bills, rent, electricity bills, internet, etc.) from relevant department.
Ensure optimal office space allocation for all WTTCO employees and manage space change needs through coordinating with Facility Management Engineer.
Ensure space allocation regarding office supplies for new employees during on-boarding process.
Develop and maintain strong relationships with services providers (travel agencies, hotels, transportation service providers, stationery, etc.) to obtain corporate rates and support operations and monitor performance against service level agreements (SLAs).
Manage timely completion of travel services (visas, tickets and accommodations) for WTTCO employees and guests ensuring effective operation support while maintaining cost-effectiveness.
Maintain relationships with government authorities in order to facilitate governmental services (immigration, work visas, residence permits, etc.) in a timely manner.
Manage staff termination procedures including cancellation of work permits and exit permits in line with legal requirements.
Build and maintain solid relations with external stakeholders such as governmental entities and consultants to serve WTTCO best interest.
Provide assistance across the organization and support peers when needed to perform their duties.
Approve reports and presentations related to Department activities and achievements for reporting and decision-making.
Perform other activities as and when required.
Job Qualifications And Requirements
A minimum of 10 years of experience with at least 5 years of experience in a managerial role.
Bachelor's degree in Business Administration or in any related field.
