Provide support and proper implementation of the various human resource functions, which include employee relations and government relations. Facilitate the efficient operation of the department/office by performing a variety of administrative tasks, maintaining office supplies, handling calls and requests, and preparing and filing documents.
Duties and Responsibilities:
- Finalize the employment contract authentication on Qiwa platform and update them when contract renewing, promotion, demotion, etc.
- Finalize the work visa process which includes visiting the necessary institutions and follow-ups.
- Maintain people’s iqamas up to date through the monthly renewal process which includes renewing and following up on payments and renewing work permits.
- Finalize sponsorship transfer requests and the necessary follow-up with the concerned department.
- Ensure all separated people’s contracts and registrations are cancelled/ended on all government platforms.
- Finalize the needed legalizations for embassy documents.
- Finalize exit re-entry and final exit re-entry as requested/necessary.
- Maintain up-to-date people’s information on all government platforms when needed.
- Upload the WPS files on a monthly basis and make sure all fines are justified and accepted.
- Add, complete, and delete people’s information in GOSI platform.
- Review and process the GOSI invoices on a monthly basis.
- Request, source, interview, and select Tamheer trainees and follow up their attendance and monthly evaluation.
- Finalize the authorizations necessary for work processes (such as recruitment agents, car, ministries, etc.).
- Support in the needed communications with the company driver during guests’ visits.
- Provide employment letters upon requests for SCGHS, banks, embassies, etc.
- Update people’s records in HR system and government platforms after the yearly increase.
- Handle the overall office administration management and coordinate various office services, maintenance, and invoices.
- Check for proper maintenance of all office supplies and facilities, order office stationery, groceries, and other services as required.
- Provide the necessary support and direction to visitors and new joiners.
- Archive files and documents related to the department in an organized and retrievable manner, and update in accordance with Company policies.
- Make the necessary out of office work which includes but not limited to MOFA, HRDF, Qiwa, etc.
- Handle the company governmental tasks (CR and licenses issuance, renewals and modifications, sending/receiving contracts to governmental institutions, etc.).
Job Requirements:
- B.A. in Human Resources Management or Business Administration or any related field.
- 0-2 years of experience.
- Proficiency in both written and spoken English language.
- Proficiency in using MS Office applications, particularly Excel and Word.
- Knowledge in Applicable Labor Laws and in governmental platforms.
