Job Purpose

The Admin & Facility Officer is responsible for overseeing administrative operations, facilities management, and employee services to ensure smooth and efficient functioning of the company. This includes handling maintenance, procurement, supplier coordination, and supporting operational needs across departments.


Main Job Responsibilities

  1. Oversee the installation and activation of SIM cards for vehicles, allocate fuel amounts, and deactivate services as required.
  2. Oversee all types of maintenance for company facilities, including air conditioning, plumbing, electrical systems, and general repairs, by coordinating with the Maintenance Department and service providers.
  3. Handle the tracking, verification, and processing of shipment invoices to ensure accuracy and timely documentation.
  4. Handle requests for stationery items, including letterheads and envelopes, ensuring sufficient stock levels.
  5. Organize and oversee maintenance and servicing for employee accommodations.
  6. Manage purchases for the canteen and ensure availability of essential items.
  7. Monitor and coordinate tasks of office assistants (tea boys/Cleaners) to ensure cleanliness and efficient support.
  8. Provide assistance in organizing and coordinating company activities, events, and employee programs.
  9. Assist in handling all Government Relations Officer (GRO) tasks, including processing work permits, Iqama renewals, and ensuring compliance with local regulations.
  10. Manage the leasing of company offices and warehouses, including negotiating rental agreements, ensuring timely payments, overseeing lease renewals, and ensuring compliance with rental terms and conditions.

Requirements

  1. Diploma or Bachelor's degree in Business Administration or a related field.
  2. At least 2 years of experience in administrative and facility management.
  3. Good proficiency in the English language.
  4. Skilled in using MS Office and other administrative tools.
