Job Summary
The Admin Coordinator is responsible for supporting the collection and maintenance of student attendance data and ensuring that attendance data is timely and complete. The role also involves supporting the examinations service, coordinating invigilators and exam access arrangements, and ensuring a systematic approach to the administration of examinations that meets quality standards. Communication with faculty/staff and coordination with administrative staff is also essential.
Primary Duties & Responsibilities
- Ensures that examinations are carried out in accordance with Alfaisal University regulations, providing students with a positive and supportive yet strict exam experience.
- Prepares and assists professors/instructors with the preparation of the exam hall and other exam rooms to ensure compliance with Alfaisal University exam requirements.
- Monitors classes and students to ensure awareness of exam conditions, retrieves mobile phones, checks IDs, sets the tone, and ensures students enter quietly and efficiently.
- Takes attendance of students at the beginning of lectures and provides the faculty with daily student reports.
- Ensures all examination papers are delivered and collected safely from students.
- Develops and maintains a filing system.
- Builds weekly/monthly reports on attendance data using student SARP systems and Microsoft Excel to analyze data and provides feedback to instructors while keeping a copy with admin staff.
- Coordinates and facilitates meetings with professors when needed.
- Updates faculty on student behavior in class according to Alfaisal policy and procedure.
- Communicates with Information Technology and Facility departments to ensure class readiness and equipment preparation.
- Monitors students taking exams alone.
- Receives and prints exams for students.
- Assists in the input and maintenance of student attendance data entry in accordance with Alfaisal University processes and procedures.
- Coordinates with students and faculty for paper assignments and exam delivery to ensure secure delivery and collection of papers in accordance with regulations.
- Performs all duties in a professional, effective, and confidential manner.
- Performs all other related duties as required or assigned by the manager.
Education & Experience
- Diploma or Bachelor’s degree in Business Administration, Marketing, Human Resources, or equivalent from an accredited university.
- Minimum of two (2) years experience in clerical tasks or related fields. No experience is required for bachelor’s degree holders.
