What is the job
Maximize the financial performance of the hotel by providing a financial and purchasing strategy and ensuring all legal aspects of the business are completed accurately and timely. You will ensure we have legally binding contracts in place for our locally arranged suppliers, which you will have negotiated at the best possible rates. Also, that insurance policies are in place and up to date so we are covered for all eventualities.
Every day is different at IHG, but you'll mostly be:
- Validating credit applications received and conducting reference checks prior to endorsing for further approval.
- Collecting and processing all folios received from the Front Office on a timely basis.
- Performing daily city ledger transfers and preparing invoices for the folios, validating for invoice submission.
- Delivering invoices and collecting payments from creditors.
- Monitoring AR Aging weekly and following up for payment within 60 days.
- Noting and documenting collection efforts on the system and sending out reminder letters for outstanding invoices.
- Establishing credit card services for the property, with an adequate number of POS and stationery available for smooth operation.
- Ensuring credit card transfer and reconciliation is performed on a daily basis, following up with the corresponding department on discrepancies and updating the Credit Manager with the status.
- Validating the credit card refund requests received before endorsing for further approval.
- Responding promptly to chargeback disputes and queries which are bank related.
- Working closely with the Income Auditor and Credit Manager on day-to-day operations and ensuring outstanding issues relating to credit are resolved.
- Establishing strong and effective communication with the operations department. Educating and working as an advisor to ensure all understand the importance of the credit function.
- Verifying PM accounts opened daily and ensuring necessary backup is submitted.
- Monitoring Credit Limit Exceeded Report, AR Activity, AR Credit Balance and User log transfers daily.
- Performing bank payment posting and liaising with the Front Office on other modes of payments posting relating to AR.
- Generating and sending out statements of account monthly to creditors.
- Attending and taking minutes for monthly Credit Meetings.
- Preparing monthly AR packages and necessary reports.
QUALIFICATIONS AND REQUIREMENTS :
It can be a physical role and although there are the usual meetings, briefings and of course reports to run, you will need to be on your feet some of the day out and about in the hotel, so fitness will be key for you, although reasonable adjustments will be made where we can. You will need to speak English for this specific role, and looking at your next move we would love it if you were multi-lingual, but it's not essential just yet.
What we need from you :
- You need to ensure all equipment is in working order by protecting and enhancing the value of all hotel assets through appropriate programs in maintenance and security. We have a capital budgeting process to help you with this.
- You will work with your team to ensure all financial processes are secure, accurate and completed in line with the timetable. You need to work with and support your management colleagues to compile the forecasting and operational planning of the payroll and expenditure, as you need to deliver in line with your budgets.
