Job description

Purpose of Position:

To ensure the efficient operations of the warehouse through effectively managing warehouse staff, resources, legislative compliance, financial performance and customer service requirements of the department.

Key Accountabilities:

  • To complete duties relating to warehousing and distribution as required by customers. Ensuring orders are fulfilled and on time.
  • To use the Warehouse Management and Inventory System to complete reconciliations between these systems and physical stock movements for all customers.
  • Continuous process improvement of warehouse management systems.
  • To ensure that all data entry relating to the movement of stock is completed accurately and on time for all customers.
  • Adopting responsibility for the warehouse on-time billing, profitability and supporting management in business growth.
  • To ensure that all documentation is filed as per operational and company requirements for all customers.
  • To ensure that all company equipment is handled and driven in a responsible manner at all times.
  • Supervising the warehouse team and managing the day-to-day operation of the warehouse.
  • Manage high-value and complex inventory systems, ensuring optimal stock levels and minimizing shrinkage.
  • To ensure that staff allocated to specified customers are undertaking their tasks in a safe manner at all times.
  • To liaise with all contract managers and supervisors as required, developing positive working relationships to ensure compliance and to limit unnecessary delays due to inadequate processes and non-compliance issues.
  • To assess workloads within the allocated team and allocate resources adequately on a day-to-day basis.
  • Analyze and interpret operational data to drive strategic decisions.
  • To ensure that customer service and quality targets are met and/or exceeded for specified customers.
  • To ensure all SOP’s for specific customers and generic SOP’s are updated and easily accessible by all staff.
  • Ensure all staff are trained according to SOP’s to ensure smooth implementation of projects of new customers and/or new business for existing customers, avoiding interference to existing business and with the implementations on time and within budget.
  • Optimize and re-engineer existing business.
  • Streamline operational flows, and resources for all CL customers.
  • To ensure transferability of knowledge to other implementation projects.
  • To complete all relevant reporting activities to local and national CL management as required.
  • To ensure ongoing and consistent customer satisfaction through effective and efficient responses to customer enquiries, issues, and problems.
  • To establish and maintain long-term sustainable partnerships with specified customers and service providers.
  • To discuss and communicate customer feedback.
  • Provide high-level operational support to clients and address their concerns.
  • To observe all company quality requirements at all times.
  • Accountability for compliance with legislative requirements of the facility including but not limited to:

Quarantine

Chain of Responsibility

Workplace Health and Safety

  • Maintaining and improving safety in the warehouse, including, but not limited to:

Equipment maintenance

Maintaining and updating safe work procedures

Maintaining compliance with HACCP (food safety program) standards as applicable

Staff inductions (Including Casual Staff)

Valid Staff Certification and Qualifications, including ongoing review in line with business needs and legislation.

WH&S

  • Responsibility to ensure that systems are communicated to the various workplaces and that the relevant Managers/Supervisors under them are managing the systems as required.
  • Requires that there is a clear understanding of management responsibility in regard to workplace WHS (as outlined in the Act) and that all workers under them are fully aware of their obligations.
  • Requires that monitoring is undertaken to ensure the reporting manager as required, not the least of this reporting is the planning for training and the updating of the training plan.
  • Responsible for ensuring a clear two-way flow of communication exists in relation to WHS and welfare to and from the workplace.
  • Responsibility for undertaking performance appraisals of staff directly reporting to him/her.
  • Means to initiate formal warnings where WHS breaches occur as a result of employee/management noncompliance to WHS requirements.
  • Duty of care to ensure processes put in place by the company are in fact being implemented in the workplace. Where they have a difficulty due to resistance of workers, or any other factor, they must report this to the reporting manager for action and resolution.
  • Take all appropriate steps necessary to ensure site compliance.
  • Responsible for managing the selection and pre-qualification of contractors.
  • Must act upon any hazards identified in the workplace, or any risks/concerns communicated from an employee. A risk management process should be initiated.
  • Has the authority to cease any work process where an employee may be at risk for an unsafe activity.
  • Reporting workplace WHS performance to the reporting manager as requested.
  • Monitor the performance of contractors, providing induction, and reporting on performance as required.
  • Initiating workplace WHS inspections/audits to monitor WHS on site.
  • Records of all such activities will be kept by this Site Manager or delegated as appropriate.
  • Responsibility for in-house training and induction as delegated by the Training Plan, and must assess competency standards of their workforce.
  • Must be aware of the regulations requiring record keeping of incidents/accidents, injury and claims management and in particular the confidentiality and security requirements.
  • Oversees effective management of WHS and IM and ensures effective communication between management, workers, and Insure.
  • Identify any weaknesses, risks or anomalies in the WHS system and should do so when a risk is identified.
  • Work undertaken must be signed off and records kept.
  • Where equipment, plant or other items are deemed unfit for purpose, the site manager has a duty of care to tag these items accordingly and render them out of service.
  • Duty of care to render plant/equipment obsolete/unable to be safely repaired as and when required.
  • Report any unsafe work practices to their reporting manager including any practices, maintenance equipment or tools of trade used by contractors or employees to perform their tasks.
  • Requires some research in sourcing safe products, equipment, and plant in relation to the workplace activities.
  • Ensure that the people you supervise understand their responsibilities under the Chain of Responsibility policy.
  • Take opportunities to discuss the policy and reinforce the importance of safety and compliance.
  • Create an environment where employees and contractors feel comfortable raising concerns.

At no time encourage or direct employees or contractors to achieve business results at the expense of ethical conduct or compliance with any policy or law.

Mandatory Accountabilities for all Positions:

  • Takes all practicable steps to ensure safety at work and that no action or inaction causes harm to anyone else.
  • Reports all hazards, accidents, near misses, or unsafe conditions to manager and records as soon as possible.
  • Understands and complies with Röhlig health and safety policies and guidelines.
  • Understands and complies with Röhlig policies and procedures.
  • Adheres to Röhlig global process standards in daily work to ensure a high-quality customer experience is delivered to all customers, internal and external.
  • Behaves and performs in accordance with Röhlig company values (Solid / Vivid / Committed), and strives to encompass them in day-to-day business.

Required Experience and Knowledge:

  • Minimum 10 years of experience managing personnel.
  • Previous experience in a coordination role essential.
  • Previous experience in a senior role such as Leading Hand or Team Leader (or above).
  • Several years of Contract Logistics Operations and/or Client management experience.
  • High level in standard business office software for analysis and presentation purposes.
  • Good knowledge and understanding of Logistics processes and goods flows.
  • Strong ERP system knowledge.
  • Contract Logistics costs and calculation awareness.
