Purpose: We are seeking a knowledgeable and detail-oriented Travel and Meeting Subject Matter Expert to support our Concur site refresh project. The ideal candidate will have extensive experience with SAP Concur Travel and Expense systems and will be responsible for data gathering, data validation, audit rule review, configuration of travel settings and prompts, system testing and providing relevant training on Concur and company Travel & Meeting policies.

Location: This role is to be located at the Elanco Business Solutions, Kuala Lumpur

Key Responsibilities & Deliverables:

  • Data Management:
    • Collect and validate data required for the Concur site refresh project. Ensure data accuracy and integrity throughout the project lifecycle.
  • System Configuration:
    • Review and update audit rules, travel settings and prompts within the Concur system to align with company policies and compliance requirements.
    • Customize workflows, approval hierarchies and reporting templates as needed.
  • Testing and Quality Assurance:
    • Develop and execute comprehensive test plans to ensure system functionality and compliance.
    • Identify, document and resolve any issues or discrepancies during the testing phase.
  • Training and Support:
    • Develop and deliver training programs for employees on the use of the Concur Travel and Expense system and Meeting platform.
    • Provide ongoing support and troubleshooting to users, addressing inquiries related to system issues or expense reporting processes.
  • Policy Compliance and Reporting:
    • Ensure all travel and meeting activities comply with company policies and regulatory requirements.
    • Collaborate with the finance team to generate reports on Travel and Meeting trends, compliance tracking and auditing.
  • Collaboration and Stakeholder Engagement:
    • Serve as the primary point of contact for Concur, TMC, Hotel and Meeting platform.
    • Work closely with external vendors and service providers to coordinate system updates and resolve issues.
    • Participate collaboratively in cross-functional teams and projects to develop, implement, and maintain organizational processes, tools, and documentation, as assigned.
  • Process Delivery:
    • Support centralized travel account reconciliation process.
    • Manage travel-related inbox communications and provide solutions to problems.
    • Able to communicate effectively with employees to help resolve travel issues.
    • Able to create and track resources that enable the travel department to guide employees through the travel program.
    • Assist team with creating vendors, getting invoices paid, and managing teams POs.
    • Create all trouble tickets with Concur and/or IT and follow them to ensure they are resolved.
    • Join bi-weekly calls with FCM and Concur to help with the transient of the travel team.
    • Join all calls with suppliers/vendors to have a better understanding and assist where is needed.
    • Manage and assist with CVENT for small meetings.
    • Assist the hotel RFP project.
    • Enhance organization and department effectiveness and efficiencies through means of identifying and owning steps to improve processes.
    • Assist with making changes and updates to the travel section on The Spot.
    • Develop and design KPI dashboards.

Requirements:

Minimum Requirements:

  • Bachelor’s degree in Business Administration, Finance, Information Technology or a related field.
  • Minimum of 5 years of experience managing and supporting SAP Concur Travel and Expense systems or similar platforms.
  • In-depth knowledge of Concur configuration, including travel booking and reporting functionalities.
  • Understanding the integration between Concur Travel and other systems.
  • Strong analytical and problem-solving skills with keen attention to detail.
  • Excellent communication and interpersonal skills, with the ability to work effectively with employees at all levels of the organization.
  • Project management experience is a plus.
  • Performance driven – seeks and acts on results.
  • Focused on compliance and controls.
  • Ability to work across cultures and across diverse management styles.
  • Self-motivated professional with excellent customer service and strong working/team building relationship skills.
  • Ability to influence and establish credibility, trust and rapport with internal and external stakeholders and colleagues and is able to work as a member of a team.

Preferred Certifications:

  • SAP Concur Implementation and Configuration Certification.
  • Relevant project management certifications (e.g. PMP) are advantageous.

Travel:

  • Up to 20% for project work and client/customer interaction.
