About This Role
Duties and Responsibilities:
- The Training Administrator reports directly to the Head of Training.
- Validate trainees’ pre-requisites prior commencement of training.
- Prepare and serve as an Exam Invigilator as and when required.
- Conduct a welcome briefing for trainees.
- Ensure trainees are registered for Computer Based Training (CBT) and monitor CBT reports to ensure completion of enrolled courses for trainees and instructors.
- Ensure all training materials are provided to trainees and instructors.
- Maintain Student Training Records.
- Maintain all Instructors Training Files and records.
- Communicate with the HOT/HOPT/ HoCGCT/ CGI concerning instructor and examiner authorization validity and renewal.
- Ensure all trainees’ records are accurately completed prior to submission to AOCs/trainees.
- Implement appropriate filing and related office procedures.
- Assist in the preparation of training documentation as needed.
- Assist Resource Centre on any relevant matters concerning ATO.
- Assist in internal audits and the review of quality procedures and processes.
- Assist in monitoring training schedules.
- Assist in the development, implementation and monitoring of best practice principles for customer service focus and delivery.
- Coordinate with trainees on training-related matters.
- Coordinate with Sales Department, Scheduling Department and Resource Centre to ensure a smooth training process.
- Coordinate with Planning Department and CAAM concerning instructor and examiner authorization validity and renewal.
- Coordinate with Planning Department concerning instructor training requirements.
- Responsible for safeguard company/client assets such as iPads and official stamps in the designated place.
- Liaise with client TA/management to obtain updated and correct training manuals and materials (FCOM, FCTM, Flysmart etc.) prior to training commencement date.
- Responsible for registration of training courses with HRDC.
- Reviewing instructor claims prior to submission to Finance Department.
- Coordinate with Instructors on airport pass validity and renewal & E-vetting.
- Ensure smooth process during A/C visit, Warehouse visit and Food handling.
- Consistently prepare and update Work Instruction (WI) and focus on the current task at hand.
Qualifications and Skills:
- Minimum: Diploma in Business Administration or equivalent.
- Experience in training administration is preferable.
- Has excellent interpersonal and communications skills, both written and verbal, and the ability to develop strong working relationships at all levels both internally and externally.
- Self-motivated and able to work under pressure with tight deadlines.
- Good problem-solving skills.
- Versatile and well-organized administrative skills with deep knowledge of making administrative and procedural decisions.
- Excellent written and spoken English.
- Customer focused.
