Job description

We are seeking a highly organized and proactive Export-Shipping Administrator to join our team. The ideal candidate will be responsible for managing the entire export process, ensuring smooth coordination with overseas clients, and maintaining compliance with international trade regulations. The role requires effective communication, attention to detail, and the ability to manage multiple tasks and deadlines. This position will also require occasional after-hours communication with clients due to time zone differences.


Key Responsibilities:

  1. Order Management: Process and prepare orders received from overseas clients promptly and accurately.
  2. Client Relationship Management: Develop and maintain positive business relationships with overseas clients, ensuring a high level of customer satisfaction. Respond to customer inquiries, including after-hours communication when necessary due to time zone differences.
  3. Documentation Compliance: Ensure all export documentation complies with international trade regulations, including customs declarations, bills of landing, and other necessary paperwork.
  4. Export Process Management: Oversee all aspects of the export process, from order receipt to shipment, ensuring timely and accurate documentation for shipments.
  5. Coordination & Administration: Work closely with relevant departments (such as Sales, Logistics, and Warehouse) to coordinate orders, shipments, and inventory management.
  6. Additional Duties: Perform other tasks and duties as assigned by the Head of Department (HOD) or Management from time to time.

Required Qualifications:

  1. Proven experience in export/shipping administration or related field.
  2. Familiarity with International Trade regulations and export documentation requirements.
  3. Excellent communication skills and ability to build relationships with overseas clients.
  4. Strong organizational and multitasking abilities.
  5. Proficiency in Microsoft Office (Excel, Word, PPT).
  6. Flexibility to manage communication outside of regular office hours due to time zone differences.
  7. Have own transportation and willing to travel for work purposes.

Desirable Qualifications:

  1. Knowledge of global shipping logistics and supply chain processes.
  2. Previous experience in customer service or sales coordination.
  3. Ability to work independently and as part of a team.
  4. Preference will be given to candidates who are fluent in Mandarin and English to support communication with overseas clients.
