Purchasing, Procurement & Inventory (Manufacturing, Transport & Logistics)
- Manage the procurement of materials, goods, and services based on organizational needs.
- Establish and maintain strong relationships with vendors and suppliers to ensure reliable supply chains.
- Negotiate pricing, terms, and delivery schedules with suppliers.
- Evaluate and select suppliers based on cost, quality, and delivery performance.
- Basic knowledge of Act 852 and E-invoicing.
Shipment Tracking
- Monitor the progress of shipments to ensure timely and accurate delivery of products.
- Communicate with suppliers and logistics teams to resolve any shipment delays or discrepancies.
- Maintain a detailed record of all incoming shipments, including expected and actual delivery dates.
Order and Invoice Management
- Maintain and update records of all outstanding purchase orders.
- Ensure all orders are processed on time and meet quality and quantity requirements.
- Oversee the billing process and ensure that invoices are accurate and match the terms agreed with suppliers.
- Issue invoices to internal departments or clients as needed, ensuring all charges are appropriately accounted for.
- Maintain and track records of all outstanding payments, ensuring that all overdue invoices are addressed promptly.
- Work with finance and accounts departments to resolve any discrepancies in payments or invoicing.
Inventory Control & Reporting
- Regularly check inventory levels and initiate procurement of required goods to avoid stockouts or excess inventory.
- Maintain accurate records of inventory, shipments, and related procurement activities.
- Prepare reports on purchasing activities, stock levels, and shipping status for senior management.
- Assist with budgeting and cost control related to procurement activities.
- Monitor and manage costs to ensure that procurement remains within budgeted parameters.
- Prepare regular reports on purchasing and financial activities for senior management.
Compliance and Documentation
- Ensure that all purchasing activities comply with company policies, industry standards, and legal regulations.
- Maintain accurate and organized documentation of all procurement transactions, including contracts, purchase orders, and invoices.
Skills and Qualifications:
- Education: Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
- Experience: At least 5-7 years of experience in purchasing, procurement, or supply chain management, with at least 2 years in a senior role.
- Knowledge: Strong understanding of procurement processes, shipment tracking, invoice processing, and financial reporting.
- Communication Skills: Excellent verbal and written communication skills for vendor negotiations and internal coordination.
- Problem-Solving Skills: Strong analytical abilities to resolve issues related to shipments, billing discrepancies, and supplier performance.
