Job Description:

The Role: The Senior Operations Analyst, HR Shared Services is responsible for operational execution providing comprehensive HR transactional support and coordination related to payroll activities within Entegris Business Service Center – Malaysia Human Resources (EBSC Malaysia – HR). Primary areas of responsibility include data management of new hires, employee status changes in the payroll system, employee termination activities as it relates to payroll, and ad hoc HR and Payroll reporting, within pre-defined service level agreements (SLA’s).

This position works closely with Corporate HR and Local HR departments, employees and management. This position will also support special projects within the HR and EBSC Malaysia - HR organizations. The HR Shared Services Operations Analyst collaborates with stakeholders to improve processes, implement changes to HR processes or programs in order to maximize efficiency.

A key player in enabling the strategy for migration projects, recruitment and training of EBSC - HR SSC team members as well as stakeholders, engaging and building strong stakeholder relationships and ensuring successful change management.

In this role you will:

  1. Implementation of the Global and Regional HR Strategy and policies, through leading the Entegris Business Service Center – Malaysia Human Resources (EBSC Malaysia – HR) team function, supporting and maintaining the infrastructure, systems and processes in line with company standards and legislations, ensuring a high standard of delivery of HR services to the enterprise.
  2. Delivering operational excellence of HR solutions, partnering with country HR, Corporate HR and other functional teams.
  3. Identifying opportunity and delivering continuous process improvements as part of key global HR projects to support the further development of the Shared Services HR function.
  4. Payroll Data Management:
  5. Delivering to regional payroll solution requirements, time and attendance and statutory processing, to maintain compliance to legal, fiscal and regulatory requirement.
  6. Ensure accurate and timely centralized reporting for personnel costs management and forecast initiatives.
  7. Process Efficiency and Automation:
  8. Support the execution of Global Process Ownership for processes as defined and assigned by our Corporate HR office.
  9. Driving success through working with peers and team-mates across geographies on common ways of working, process improvements and initiatives.
  10. Identification opportunity for process improvement through process efficiency and/or automation.
  11. Partner cross functionally to address operational requirements and compliance.
  12. Key team member in automation initiatives for the Function as assigned by Corporate Office.
  13. Partner with and influence required business partners to drive process, systems and organizational changes successfully.
  14. Service Delivery:
  15. Continuously meet the target of delivery of a comprehensive set of performance metrics.
  16. Investigate and resolve complex issues that arise regarding policies, processes and practices.
  17. Key point of contact to execute to HR processes transition to the EBSC - Malaysia HR team.
  18. Deliver excellent HR customer service and operational excellence to regional HR customers, monitoring inquiries and internal customer satisfaction and providing escalated support as needed.
  19. Ensure all service delivery in full compliance to all audits, certification, HR policy and Employee Handbooks as related to processes and services delivered in the EBSC -Malaysia HR.

Traits we believe make a strong candidate:

  1. Overall career experience in HR, particularly in payroll management for about 5 years of experience in an HR Shared Services organization, managing end to end Japan and China payroll operations.
  2. Degree in Human Resources, additional HR qualifications will be an added advantage.
  3. Experienced in driving and executing service migration projects in a matrixed organization.
  4. Strong analytical skills and attention to details are required.
  5. Ability to speak in Japanese language will be desired.
  6. Having a working knowledge of Workday and GlobalView SAP system will be the added advantages.
