Manage end-to-end procurement processes, including sourcing, negotiating, and maintaining relationships with China-based suppliers.
Monitor supply chain timelines to ensure on-time delivery of materials and finished goods.
Resolve supplier issues and optimize cost-efficiency.
Inventory & Production Oversight
Track raw material and finished goods inventories, aligning with production schedules and demand forecasts.
Ensure accuracy of the production system (Codemax), updating data and resolving discrepancies.
Collaborate with production/logistics/warehouse teams to minimize delays.
Reporting & Communication
Consolidate departmental updates (production, marketing, warehouse, finance, logistics) into actionable reports for Directors.
Administrative Support
Manage Directors’ calendars, meetings, travel, and email correspondence.
Prepare agendas, documents, and presentations for leadership meetings.
Stakeholder Liaison
Act as a bridge between Directors and internal/external stakeholders.
Handle confidential information with discretion.
Project & Ad-Hoc Management
Lead or assist in ad-hoc projects and initiatives as directed by the Directors (e.g., process improvements, market research, or urgent operational tasks).
Adapt quickly to shifting priorities, managing multiple tasks simultaneously.
Support Directors in special assignments, such as data analysis, event coordination, or cross-departmental collaboration.
Maintain flexibility to adjust workflows, deadlines, or responsibilities based on evolving business needs.
Job Requirements
Education & Experience:
Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
Minimum 3-5 years of experience in operations, procurement, supply chain, or a related role.
Experience working with China-based suppliers and manufacturers is a plus.
Technical & Industry Skills:
Familiar with China’s procurement and supply chain processes, including sourcing, negotiations, and import/export procedures.
Proficient in using WeChat, Excel, Google Chat, Google Sheets, and Codemax (or other inventory/production tracking systems).
Strong knowledge of inventory and production management best practices.
Communication & Language:
Fluent in Mandarin and English (spoken and written) to communicate effectively with suppliers and internal teams.
Ability to draft professional reports, emails, and presentations.
Soft Skills & Work Ethic:
Strong problem-solving and negotiation skills to handle supplier issues and optimize costs.
Highly organized, detail-oriented, and able to manage multiple tasks simultaneously.
Adaptable to fast-paced environments and able to handle urgent or ad-hoc tasks effectively.

Additional Preferences:
Experience in working with logistics, warehousing, or e-commerce operations is a plus.
