Responsibilities:

  • To analyze the technical inspection requests received (BV network, direct Clients for in/out-county inspection) after hand over from Business Development Team to the Coordinator Operations Group.
  • To schedule the assignment based on Inspections Test Plan (ITP) and work progress requirement.
  • To establish and maintain communications with clients, inspectors, manufacturers, vendors, suppliers, and sub-contractors and BV office worldwide where applicable during the performance of the work.
  • To timely identify, select and assign the appropriate inspector (qualification, experience, etc). Whenever FTE are unavailable, the coordinator shall look for alternatives, freelance (NE) or subcontractors able to deliver the work, timely and within the budget of the project.
  • To timely take input from the business controller to maintain an acceptable cost/profit for the job.
  • To ensure the sub-contractor (or NE) has signed a valid contract with Bureau Veritas and all QHSE matters are in order (Code of Ethics, medical, etc).
  • To capture daily the movement of assigned inspectors, NE or FTE, in the Manpower Schedule. Any charge, rescheduled inspection, extended or cancelled assignment to be captured and updated as well timely, and communicated and shared as deemed necessary to the other inspection coordinators.
  • To timely compile and consolidate all relevant document packages for equipment to inspect in the assignment, e.g. Inspection test plan (ITP), Quality plan (QP), Drawings, etc.
  • To timely communicate the technical work scope of inspection requests to the Inspector Engineers.
  • To ensure all instructions are clear to execute the visits (job number, date, duration, in particular the job scope as 2nd/3rd part, whether the BV Chop is required or not, deliverables templates).
  • To monitor and control the documentation flow of each assignment, and especially for inspectors to submit back the relevant deliverables within 24h (target).
  • To timely review reports and deliverables (quality-wise) prior submission to clients within 45h after inspection is performed.
  • To maintain accordingly up to date all the records properly and adequately saved on the BV M server and in SIEBEL (validate and PO.CO actions timely to meet HO KPIs) as deemed required.
  • To timely prepare and submit billing instructions, and to ensure consistency with time sheets and validated PO (or contract T&C).

Additional Responsibilities:

  • To act as client focal point, attend regular meetings with external clients for constant feedback of the operation, keeping involved the BD Group as deemed required, especially for project.
  • To manage assigned projects (usually large projects) in ensuring all contract requirements are met, such as:
  • Inspection Coordination – Resident & call out.
  • Review of daily Reports & feedback (if necessary).
  • Preparation of Weekly Report & feedback (if & when required).
  • Preparation & Submission of Various Monthly Reports.
  • Conduct Project Periodical (monthly, bi-monthly or quarterly) Meetings with the inspectors.
  • Project Presentation on Supplier Quality Management, Pre-DWOP and/or DWOP.
  • Prepare relevant project training materials for presentation to the client (whichever applicable).
  • Ensuring project databases are in order and in place.
  • To administer and guide the Coordinator in charge in providing support and preparing required commercial proposals for additional services (with pricing, mileage, expenses) in coordination with Operations Manager, and BD Manager in particular for internal incoming inquiries (from BV Network to local inspection).
  • To monitor concerned Coordinators using SIEBEL in ensuring all input are systematically addressed weekly through SIEBEL of which required actions as performing office as well as contracting office (if necessary) are in order (green flag).
  • To provide guidance to the team of Coordinators and Admin Staff (back office) via informal and formal meetings & discussions.
  • To provide orientation to the new team member of back office staff (Coordinator, Admin Staff, etc).

Note: Furthermore, the Branch Manager and Coordinator Lead have the responsibility to identify and report opportunities for operational and business improvements, in particular to identify and report to management on specific training or qualification needs, and to monitor the financial cost of the assignments/projects (P & L).

Requirements:

  • Education - Degree holder in Technical or Engineering related or with equivalent experiences.
  • Training - refer to 04 – INP BL Guideline GEN 004 R2 Coordinator Handbook (final).
  • Technical knowledge - General working knowledge (O&G onshore and offshore, Manufacturing, IVS, Site).
  • Experience - Min 10 years with relevant experience.
  • Language - Fluent in English (reading, speaking, writing) and Fluent in Bahasa Malaysia (reading, speaking, writing).
  • Computer - Proficient in MS Office (Word, Excel, PowerPoint).
  • Others:
  • A team player with good communication and writing skills.
  • Strong ethic and integrity.

  • Comply with applicable customer, legal and other requirements.
