Job description

Responsibilities

  • Administer updated employee database & HR filing system
  • Administer all employees’ movement such as probation, transfer, resignation for permanent or contract staff etc.
  • Check & verify monthly payroll register and compile periodic reports e.g. payroll & manpower reports for the management as & when required.
  • Check monthly overtime against daily report
  • Liaise with statutory bodies such as IRB, EPF, SOCSO for any related issues
  • Compile & analyse annual performance review
  • Ensure HR policies & regulations are updated
  • Administer as well as master user for HR system
  • Attend employee’s enquiries on benefits, medical, leave management etc.
  • Responsible for overall quality system in HR department
  • Understanding and executing staffing requisition, requirements and issues from all departments
  • Draft and update documents such as job descriptions, employee handbook, performance appraisal, forms, SOP, policies and other HR related documents.
  • Sourcing candidates via recruitment agencies and job online advertisement
  • Manage the recruitment and selection process
  • Bridge management and employee relations by addressing demands, grievances or other issues
  • Screening the candidates by resume shortlisting, phone interview and personal interviews with coordination with the concerned departments & background verification of the shortlisted candidates
  • Issuing Letter of Offer/Intent/Employment to the selected candidate
  • Maintain employees’ leaves, medical and attendance record and keeping track of employees’ attendance/absenteeism
  • Administer medical system for medical staff benefits
  • Conduct orientation program and briefing to new employees
  • Attending & understanding employee’s grievances in their work engagement level and implement corrective measures
  • Conduct exit interviews to identify reasons for employee’s termination
  • Organizing training sessions or trainings for employees ensuring they are fully equipped to perform their duties.
  • Conduct disciplinary staff issues.
  • Maintain and update all documentation required by ISO for HR portion.
  • Compile and check employee expenses claims
  • Assess training needs to apply and monitor training programs
  • To comply with all requirements of ISO and participate in ISO audits.
  • Liaise with agent for application of employment pass for expatriate workers or work permit
  • Assist with office administration and supervision of administrative support.
  • Responsible to lead, manage and oversee full spectrum of HR-related strategic and operational matters, ensuring that all policies and procedures outlined are strictly adhered to.
  • Develop and implement HR strategies and initiatives aligned with the overall business strategy
  • Coordinate the administration of the performance appraisal system
  • Contribute to the development of HR policies and guidelines
  • Support Human Resources with internal and external HR audits and compliance
  • Review existing processes and proactively propose new improvement initiatives or suggest new ways of working to improve digitalization and effectiveness of the HR function.
  • Work closely with management to execute HR functions proactively and correctly.
  • Oversee the end-to-end payroll process, ensuring accuracy, compliance with relevant regulations, and efficient payroll operations guided by best practices
  • Review & prepare payroll computations, including salaries, bonuses, commissions, and allowances
  • Understand, update and execute compliance and meet local culture HR needs in business where company has extended operation, stay abreast of all payroll tax laws and regulations
  • Prepare and submit payroll-related reports to regulatory authorities
  • Coordinate with external auditors and consultants during audits
  • Work closely with Finance and other departments to ensure accurate and timely flow of information related to payroll
  • Continuously improve candidate and employee experience

Requirements

  • Bachelor's Degree in Human Resources Management or related subjects
  • Minimum 5 years of work experience as HR Generalist
  • Strong knowledge in Employment Act, Malaysia Labour Law and other related legislation.
  • Required language(s): English, Bahasa Malaysia, Mandarin.
  • Excellent leadership and people management skills with the ability to interact with individuals at all levels.
  • Good understanding of ISO 9001, 45001 and 14001 requirements.
