Job Description
The Role
Manage facility operations in 6 Asian countries, ensuring flawless operations at each location.
Lead facilities operations, manage maintenance programs, coordinate contractors, and resolve complex issues promptly!
You will apply critical thinking skills to make independent decisions aimed at continuously improving our operations. Primary focus areas include managing contracts, evaluating vendor performance, optimizing processes, and driving cost efficiency.
Key Responsibilities
Property and Facilities Management
- Respond to and manage all day-to-day facility-related queries and requests raised by SEEK employees.
- Manage SEEK’s preventative maintenance schedule and all reactive maintenance works, ensuring timely completion through liaising with contractors and building management.
- Apply SEEK’s Computerised Maintenance Management System (CMMM) for managing tasks and closing out work orders with detailed documentation.
- Oversee all soft service contracts, including cleaning, security, and indoor planting.
- Collaborate with the Facilities Manager (APAC) to ensure streamlined daily operations across the Asia Region.
- Work with the Facilities Manager (APAC) to develop, improve, and implement effective office service delivery processes.
- Conduct hazard and risk assessments for all tasks in accordance with required policies and procedures.
- Assist in developing weekly, monthly, and quarterly reports on facility performance and assets.
- Proactively report and manage building issues to minimize impact on people and services.
- Develop and implement innovative solutions and strategies to address operational issues and enhance quality delivery.
- Ensure alignment with standard methodologies and adherence to statutory regulations, industry standards, and relevant legislation.
- Manage onsite car parking, reporting, and adherence to SEEK’s car parking policy and selection criteria.
- Serve as the main point of contact for building managers regarding all repairs and maintenance works.
Safety & Emergency Procedures
- Monitor and maintain all safety and emergency procedures across all locations, and be part of the Emergency Response Team.
- Proactively manage risk and ensure compliance with all policies and procedures, addressing any issues or breaches promptly.
- Develop and drive environmental sustainability initiatives to continually improve SEEK’s office environments.
- Collaborate with the Wellbeing, Diversity, and Inclusion Lead to report injuries and provide vital physical equipment adjustments.
- Ensure external contractors adhere to safe working practices.
Procurement & Collaborator Management
- Provide cost-effective and efficient facility services, finding opportunities to improve productivity and minimize costs.
- Keep track of vendor performance based on important metrics and supervise facilities expenditure.
- Manage relationships, contract compliance, and service level agreements with vendors to ensure high standards of service delivery.
- Negotiate with suppliers and vendors to secure the best outcomes for SEEK.
- Maintain strong working relationships with the IT/AV Support and Workspace Strategy teams to support wider business programs.
Qualifications
Essential Qualifications, Skills and Experience
- Proven experience in a busy facilities/property management role across multiple sites.
- Strong understanding of both hard and soft facilities services.
- Experience using CMMS, Building Management System (BMS), and other FM-related platforms.
- Strong data analytics skills with the ability to customize reports for different audiences.
- Strong written and verbal communication skills, with the ability to influence and negotiate with collaborators.
- Exceptional time management and attention to detail.
- Sophisticated proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Flexibility to respond to changing business needs.
- Ability to build rapport and trust easily.
- Understanding of the role office environments play in building a strong culture.
- Customer-focused with a can-do, friendly, and positive demeanor.
- Ability to think on your feet and problem solve.
- Enthusiastic and motivated.
Preferred qualifications include a degree in engineering, computer science, or a related field, with core understanding of asset, project, and facilities management, as well as knowledge of applicable legislation and OHS requirements.
The Team
The Office Experience (OX) team provides office, facilities, and people support for SEEK, ensuring high levels of internal administrative support. The OX team is part of the People and Culture function and consists of three streams: Facilities Management, Office Services, and Data and Insights.
