Job Description

Position General Summary

To be part of Aeropolis’ “Creating Tomorrow, Here” - a Malaysia Airports’ airport-driven and national-aligned economic agenda. To contribute to KLIA Aeropolis', the centralised real estate arm of the Group in the off-terminal portfolio management of >RM130 million in cumulative annual revenue, comprising land leases and premises by undertaking contract management, deal transaction and operational excellence initiatives under KLIA Aeropolis.

Essential Position Functions

(1) Contract Management & Partnerships :

  • Execute timely contract renewal with the issuance of quotation.
  • Lead in negotiations of leasing terms and execution of tenancy/sublease agreements.
  • Support in the drafting and review of contracts/letters/remedies, in consultation with Group Legal.
  • Undertake assessments, consolidate accountable parties' sign-off and prepare approval paper based on the Group's limit of authority.

(2) Revenue Assurance & Monitoring :

  • Accurate billing inputs to SAP and collaborate with Group Finance for billing reconciliation.
  • Collaborate with Group Finance (Debt Collection Unit) for aging balances and settlements.
  • Prepare monthly reports on contract renewals for internal management reporting.

(3) Tenancy Administration & Documentation Management:

  • Ensure timely and proper execution of new leases, fulfillment of conditions precedent/contract compliance i.e. collection of Security Deposit, and insurance policies.
  • Oversee lease renewals and termination processes via issuance of quotations and notices.
  • Collaborate with Legal on commercial issues and recovery actions.
  • Efficient document filing, storage, and retrieval as and when required, including for audit purposes.
  • Collaborate and coordinate with landowner (across all airports) for tenant handover of vacant possession at end of tenancy term.
  • Respond/escalate promptly on tenant inquiries, concerning tenancy matters and maintain professionalism at all times and tactfulness.

(5) Team Performance

  • Recommend and drive for continuous improvement e.g. standardisation of terms, process improvements.
  • Present performance insights at business performance review with Head of Units and Business Development team.

1. Your Function as Intermediary Role between Business Development, Prospective Tenants, and Legal Teams

  • Strong Knowledge of Contract Terms: Personnel must possess a deep understanding of contract terms to ensure accuracy and protect the organization's interests.
  • Professionalism and Negotiation Skills: Effective management requires professionalism and the ability to handle negotiations, ensuring outcomes are beneficial and properly documented in agreements.

2. Your Responsibilities in Managing a Portfolio of Tenancy/Sublease Contracts

  • Meticulous Tracking: Each contract comes with unique obligations, milestones, and deadlines. Ensuring these are meticulously tracked and managed is crucial to maintaining compliance to prevent delays, breaches - with respect to both Tenant's covenants and Lessee's covenants.

Skills

Experienced in drafting/advising/negotiating contractual terms in tenancies and concessionaire agreements.
Good understanding of building/properties management process flows, vendor performance and monitoring and step processes with relevant authorities.
High professionalism in dealing with tenants and sound judgement on tenancies/properties resolutions.
English and BM in writing to tenants and relevant authorities.
Initiative and creativity in seeking solutions to problems and passion for continuous improvements.
Strong drive and commitment to deliver results. Ability to handle multiple assignments and manage accordingly to ensure completion.
Excellent interpersonal, organizational and analytical skills.
Ability to work independently and effectively as part of a diverse multicultural team.

Education

External

  • Degree in Real Estate Management, Contract/Property Management, Business Administration, Finance, Legal/ Law or equivalent.
  • Prior experience with real estate/property agencies, local/international property industry or developer company.
  • Contract professionals within corporate real estate function.

Relevant Industries

External

  • Degree with CGPA > 3.0 and minimum 5 - 8 years relevant experience.
