Senior Executive – Payroll / Specialist Payroll

We are urgently seeking a suitably qualified candidate to join Hurricane Geo Inspection Survey Sdn Bhd (based in Kuala Lumpur) for the position of Senior Executive - Payroll.

As the Senior Executive - Payroll, you will play a crucial role in managing and supervising all payroll-related tasks, ensuring accuracy and compliance in the payroll process for both internal and contract staff.

Your main responsibilities include:

  • Manage monthly payroll processing and prepare yearly EA forms for all employees.
  • Perform record-keeping and oversee payroll activities, including calculating wages, allowances, bonuses, deductions, and income tax.
  • Ensure timely processing of payroll according to scheduled timelines for internal and contract staff.
  • Process compensation changes such as new hires, terminations, promotions, transfers, and resignations.
  • Ensure all payroll components, including allowances and deductions, comply with federal, state, and local regulations.
  • Conduct monthly and year-end payroll closing and prepare necessary tax forms and reports.
  • Stay updated on payroll legislation, tax regulations, and best practices.
  • Reconcile payroll discrepancies and address employee pay-related issues.
  • Maintain confidentiality and security of payroll records and employee information.
  • Support audit processes by providing payroll documentation and reports.
  • Keep payroll records and reports updated and accessible for audits and reviews.
  • Conduct salary benchmarking and market analysis to ensure competitive compensation structures.
  • Support managers in making salary and wage decisions in line with company policies.
  • Track and manage employee leave entitlements and records.
  • Register and monitor employee utilization of outpatient and inpatient benefits.
  • Review and recommend updates to benefits programs based on employee feedback and industry trends.
  • Prepare and manage staff confirmation proposals, confirmation letters, new hire onboarding, and other employee correspondences.
  • Monitor contract staff utilization and maintain accurate records.

Job Requirements

  • Minimum 5 years of experience in payroll, with preference for candidates experienced in HR2000 or iPayroll.
  • Background in the oil and gas industry is highly preferred.
  • Strong knowledge of Malaysian payroll regulations and statutory requirements.
  • Proficient in payroll software and Microsoft Excel.
  • Excellent attention to detail, analytical skills, and ability to handle sensitive information with confidentiality.
