Senior Executive Activities, Events, Creative & Marketing, ASEAN Year of Skills

Job Purpose & Overview:

  • Plan, organize and execute the corporate, government, and trade events that resonate with target audiences, driving engagement and promoting event objectives in line with AYOS objectives and outcomes.

Key Accountabilities:

  1. Event Proposal Development
    • Prepare detailed event proposals with components like objectives, venues, agendas, target participants, and budgets, aligning with organizational and AYOS priorities to streamline resource allocation and event execution.
    • Ensure proposals align with strategic goals, setting the stage for high-impact events that enhance regional collaboration and partnership-building.
  2. Vendor Procurement and Logistics Management
    • Identify and select contractors, suppliers, and vendors through thorough research, coordinating logistics to ensure seamless event operations that meet organizational standards.
    • Coordinate logistical arrangements, including venue selection, transportation, and equipment rental, to guarantee smooth event operations company-wide, while maintaining compliance with approved standards and criteria.
  3. Secretariat Coordination and Support
    • Establish event secretariats and assign tasks effectively, providing necessary support and guidance to ensure seamless collaboration and assistance in event preparation and execution across all organisational levels and branches.
    • Coordinate task assignments and schedules within event secretariats, fostering teamwork and accountability to achieve timely and efficient completion of event-related activities.
  4. Stakeholder Engagement Support
    • Engage with ASEAN and relevant stakeholders at all levels to align events and activities planned with the expectations and AYOS goals, fostering a collaborative approach in event development and implementation.
    • Prepare communication plans and strategies to effectively communicate event objectives, updates, and outcomes to internal and external stakeholders, maintaining transparency and fostering stakeholder satisfaction.

Qualifications:

  • Degree and above in business management, mass communications, events or related discipline.
  • 1 - 5 years of working experience in event planning and execution.
  • Experience in managing events and coordinating with multiple stakeholders.
  • Strong analytical, research, and communication skills required.
  • Exceptional communication, interpersonal, and decision-making skills.
  • Ability to travel when required.
  • Willing to work in the Klang Valley Office.
