Responsibilities:

Job Summary: Supports all levels of management in providing administrative support, this role ensures that the office runs smoothly, efficiently, and cost-effectively by managing office supplies, space utilization, vendor relationships, and service contracts. The Senior Analyst will collaborate closely with various departments, vendors, and internal stakeholders to ensure operational excellence and high employee satisfaction.

Office Operations Management:

  • Oversee daily office operations, ensuring a smooth and efficient work environment.
  • Manage office supplies and inventory, including purchasing and restocking.
  • Coordinate with vendors and service providers for office maintenance, cleaning, and security services.
  • Develop and enforce office policies and procedures for operational efficiency.
  • Implement best practices for office space utilization and organization.
  • Ensure optimal usage of office space and resources.
  • Oversee the procurement, maintenance, and replacement of office equipment and technology (e.g., printers, copiers, IT infrastructure).
  • Work closely with the IT department to ensure technological needs are met and that office systems are up-to-date.
  • Analyze cost-saving opportunities for office supplies, services, and operations.
  • Oversee meeting room reservations and scheduling, ensuring availability and readiness.
  • Coordinate office space planning, including seating arrangements and space reconfigurations.
  • Develop and manage the office management budget, ensuring expenses stay within allocated limits.
  • Serve as the point of contact for office-related inquiries from employees and other departments.
  • Manage office health and safety programs, ensuring compliance with regulations and promoting a safe working environment.
  • Analyze office utilization and make recommendations for improvements.

Vendor Management:

  • Manage relationships with vendors and service providers for office-related services (e.g., cleaning, maintenance, equipment, etc.).
  • Negotiate contracts and monitor performance to ensure services meet quality standards and cost-effectiveness.
  • Review and manage office service agreements and renewals.

Job Qualification:
• Degree holder in any field or Diploma with at least 2 years working experience in office administration or secretarial science;
• Good command of written English and Bahasa Malaysia;
• Proficient in Microsoft Office applications especially MS Word, Excel and PowerPoint;
• Strong communication skills both verbal and written;
• Confidentiality and trustworthiness;
• Self-motivated and able to take initiatives;
• Able to multi-task and prioritize tasks effectively;
• Fast learner and adaptable;
• Experience in handling confidential matters will be added advantage;
• Preferably with some knowledge in accounting will be an added advantage.
