Job description
Senior Administration and Human Resources Executive

Responsibilities:
Assist the General Manager cum Administration and Human Resources Group Consultant.
Responsible for all HR & Admin job activities including ISO documentation compilation for audits and review.
Plan and coordinate administrative procedures and requirements.
Ensure understanding and compliance with labor laws and policies.
Ensure smooth and adequate flow of information within the company.
Seek, recruit, allocate space and arrange inductions and trainings for required personnel.
Assess staff performance and provide guidance to ensure best efficiency.
Process payroll transactions (salary, deductions, tax etc) both manually and using payroll system.
Coordinate timekeeping and update records (attendance, leaves, MC's etc).
Select and recruit foreign labors (if required).
Monitor and renew all company licenses, registration documents and company vehicles log books.
Construct and monitor contracts (Suppliers, Sub-Contractor, Hostel etc).
Issue memos related to administration and human resources.
Be alert of any changes in Government Policies & Human Resources.
Prepare monthly accrual and forecast estimation reports for Admin & HR Dept to submit to Finance Dept.
Update staff details from time to time to maintain their latest records.
Submit monthly online EPF, SOSCO, EIS, HRDF & Income Tax employees contribution data.
Request and ensure timely utilities & statutory payments.
Update and generate monthly salary analysis, costing, OT hours reports to Management, Finance & Production.
Raise PR for any purchase involving Admin and HR Department.
Manage all foreign worker legal issues.
Update all foreign worker permit records and monitor their expiries.
Handle permit/employment pass yearly renewals through MYEG & Expatriate System Division (ESD).
Make insurance purchases & claims for foreign workers.
Purchase air tickets for foreign workers.
Apply for visas for Senior Managers for official trips.
Register EPF and Socso for foreign workers via relevant portals.
Arrange and monitor hostel allocation and reports (if required).
Notify JTK if any foreign workers do not wish to renew their permits/contracts.
Advertise vacancies through online job portals, print media, social media platforms, banners, and other appropriate channels.
Hire practical students and request payment via HRDF for their monthly allowance (if required).
Input new hires' data into the system.
Check daily absenteeism and headcount of employees.
Update ISO Training record (Planning, arranging, follow up report, payment & HRDF Claim).
Claim SOCSO insurance for any accident cases.
Issue warning letters.
Requirements:
Minimum 5 years working experience in Administration and Human Resources.
Able to set, execute and monitor Administration Policies and Work Procedures and its records keeping.
Able to handle Human Resources activities including payroll both manually and using a system.
Able to comply with ISO requirements and its records keeping for audits and work guidance.
Proficient in Excel, Word, PowerPoint, and Teams Meetings.
Able to work independently with minimum supervision.
Fluent in both Bahasa Malaysia and English in both written and communication.
A team player.
