  • Provide a full range of confidential secretarial duties and overall administration support to the Chief Executive Officer (CEO) and Deputy Chief Executive Officer (DCEO).
  • Plan, maintain and coordinate the CEO & DCEO’s scheduling management, travel and accommodation arrangements, arrange lunch / dinner venue reservation and plan annual leaves.
  • Organize and maintain documentations for CEO & DCEO's office, databases (scanning, filing, data entry) as well as name card sorting.
  • Screen phone calls, enquiries and requests, and provide an effective referral to relevant HODs for incoming enquiries.
  • Organize, read, monitor, screen and respond to incoming emails, faxes and mails on behalf of the CEO & DCEO.
  • Respond to Board members and other stakeholders' queries in a timely and professional manner, both orally and in writing occasionally.
  • Organize meetings and follow up actions post meetings. Take meeting minutes or provide general assistance during presentations if required to do so.
  • Liaise and co-ordinate with HOD / internal staff / Board members and Business Associates.
  • Support the CEO & DCEO in projects, proposals, bids, etc. through research, consultation and team management.
  • Carry out background research and present findings/information.
  • Run personal errands as and when required.
  • Monitor and maintain renewal of visa / permits / licenses / membership / contract / household maintenance schedule i.e.: Air Cond service, car service & maintenance, road tax & insurance renewal, etc.
  • Process payment for recurring personal bills/invoices/credit card bills, and maintain bookkeeping and reconciliations.
  • Plan, organize, manage and co-ordinate Driver’s schedule.
  • Monitor the amenities, tidiness and cleanliness of CEO & DCEO office.

Requirements:

To be successful in this role, you must possess:

  • Candidate must possess bachelor’s degree in any related field.
  • At least 5 years’ working experience in a secretarial role to Senior Management.
  • Possess comprehensive knowledge of office administration.
  • Excellent in verbal and written communication skills.
  • Excellent organization and time management skills.
  • Proficient in Microsoft Office.
