Sunway University is seeking a School Manager within the Faculty of Medical and Life Sciences (FMLS). The incumbent will provide strategic and operational leadership in managing academic administration, supporting faculty initiatives, and enhancing service delivery to drive excellence in teaching, research, and student experience.
KEY RESPONSIBILITIES:
- Staff Management
Manage a team and deliver administrative leadership and support to the Faculty while developing a strong culture of teamwork that facilitates high productivity and a high level of work satisfaction, plan and implement administrative personnel structures and functions.
Seek, appoint and sustain appropriate administrative staff, including staff development, to meet the Faculty’s needs.
Plan and implement administrative staff performance appraisal and management. - Strategic Planning in Administrative and Support
Formulate, implement and review policies and procedures to enhance the operations of the Faculty.
Contribute ideas to the Faculty’s strategic planning processes and operational plans.
Contribute ideas to the promotion and branding of the Faculty programmes, including positioning of the Faculty and its programmes in promotional materials such as brochures, handbooks, advertisements and via the internet.
Provide data on current and projected student numbers and staffing requirements, and monitor attrition rates.
Support the Deputy Deans’ initiatives (Education, Postgraduate and Research, Internationalisation, Engagement and Employability) and participate and support the development and expansion of the Faculty. - Organizational Excellence
Ensure the provision of high-quality administrative support and services to Faculty staff and students which include resources planning and management, timetabling, human resources administration, exam administration, events management and coordination, student administration processes and operations.
Identify, develop and promote best practices in administration (devise, lead, monitor and review policies, systems and processes).
Participate and support the MoU/MoA/Agreement processes up to the signing ceremony and ensure the record is updated in the system.
Oversee the Faculty’s risk management processes, ensuring identification, assessment, and mitigation of academic, operational, and compliance risks.
Provide support in the Faculty Quality Assurance and audit (ISO, MQA, and Professional Bodies), lead all Continual Quality Improvement related meetings.
Provide and submit the documentation and supporting evidence for University Ranking (GreenMatrix, SDGs, SULAM, SETARA, etc).
Support the FMLS and Sunway Medical Centre coordination process for Medical and Nursing student’s clinical placement.
Liaison officer to work with the Clinical Director of appointed Health Clinics (Klinik Kesihatan) for the Doctor of Medicine and Nursing students. - Operational and Resources Management
Oversee space and facility planning, asset auditing, and communicate space requirements to the Facilities Department.
Ensure a safe working environment by managing health and safety protocols and maintain and update technical infrastructure and shared resources. - Records and Documentation
Develop and maintain comprehensive records and documentation systems to meet University, accreditation, and audit standards, including managing submissions to external organizations (e.g., MyRA).
Maintain repositories for news, ranking materials, and postgraduate/ research documentation. - Budget and Financial Management
Oversee fee collection and ensure no bad debts, and actively participate in the Faculty’s budget development, ensuring compliance with University policies.
Approve administrative eClaims, manage recruitment and procurement budgets, and supervise requisition processes (ie., Metabuyer and Esker) within the approved financial framework. - Marketing, Website and Service Delivery
Support the Faculty's marketing initiatives by developing promotional materials and maintaining an up-to-date website.
Ensure a high-quality student experience through efficient service delivery, systematic feedback via surveys and student-staff meetings, and active promotion of the Faculty both internally and externally.
REQUIREMENTS/ PERSON SPECIFICATIONS:
A minimum of Bachelor’s degree in any field with 5 years of working experience in the tertiary education sector at a managerial level.
Able to lead and motivate a team of administrative staff.
A dynamic, assertive, self-driven and result-oriented person, with initiative and passion for service excellence.
Strong command of the English language.
Possess good strategic and analytical skills with excellent interpersonal and communications skills, both written and verbal.
Excellent leadership, management and organisation skills including the ability to supervise and manage people, budgets, projects and activities.
Knowledge in policies, practices and regulations that relate the Higher Education sector.
Experience in Education Management System (EMX).
