Role Summary:

  • Responsible for providing sales & marketing and administrative assistance and support to the organization.

Essential Duties & Responsibilities:

Sales Administration:

  • Preparation of quotation for businesses within 1 working day.
  • Forward incoming faxes or requests for quotations to respective Sales Manager and Business Unit Leads.
  • Assist Business Units to ensure distribution of marketing and promotional materials as per approved.
  • Ensures proper filing of sales documents (SO, RC, quotations, GLs etc.).
  • Tagging of sales to respective Sales Representatives following sales manager’s instructions on distributor sales reporting system (e.g. Zip on Line (ZOL) system).
  • Administrator for the ZOL system – provide user IDs for new hires, schedule reports for sales team.
  • Prepare GL/SO/LPO/Quotation/vaporizer tracker as and when there is update from the sales team and submission to Product Manager (where relevant) and Business Unit Leaders.

Marketing Administration:

  • Coordinating company sales meeting, marketing & training events activities.
  • This will cover the company’s internal meetings and meal arrangements as well as external continuous medical education events.
  • Coordinate meeting logistical requirements (e.g. hotel quotation, flights options preparation of name tags, etc.).
  • Prepare welcome letter and document for sponsored delegate to meeting.
  • Make necessary travel arrangements for doctors and nurses.
  • Food catering requirements.
  • Preparation of training and promotional materials for internal and customer training events, ensure materials are prepared in time.
  • Stock count for promotional materials or devices to support products.
  • Manage materials store room.

Office Administration:

  • Perform communication work such as receiving phone calls, taking messages and ensuring all incoming and outgoing documents are distributed to the relevant parties.
  • Perform general clerical duties to include, but not limited to copying, faxing, mailing and maintaining a good filing system on GL, SO, LOU, LOA and Quotation.

Education & Experience:

  • Diploma, Degree or its equivalent.
  • Knowledge of office administration.
  • Knowledge of MS office.
  • Excellent interpersonal skills, team building skills.
  • Analytical, with good problem-solving skills.
  • Effective organizational skills, with good written communication skills.
