Provide sales, inventory and administrative support to overall retail operations to achieve company’s financial goal and objectives, improve market share, customer satisfaction and productivity performances measures for the company. Responsibilities includes but not limited to the following:

Operation
Compile/Generate various daily, weekly, and monthly performance reports in an orderly and timely manner and follow up on outstanding issues
Closely monitoring and reviewing of daily sales performance with retail operations team to ensure financial targets can be met
Ensure timely submission of store ops reports, ensure completeness, and follow up with retail outlets for any errors and/or discrepancies
Assist in tracking complaints, and follow-up with District Managers to ensure all complaints are resolved timely and within guidelines. Provide summarization of customer compliments, and complaints and resolution for sharing with Retail Manager and stores to address future service gaps
Act as a point person for online Customer Service and Loyalty Members enquiries regarding the Own & Operated (O&O) business
Provide other backroom sales support services (e.g., store promotion performance, staff productivity report) and ensure operational issues are resolved professionally, timely, and effectively
Compiles store operational audit files and ensure stores are supported if any necessary admin support
Owns communication path from office to stores and ensure that it is clear and be the contact point for stores to clarify
Ensure stores are following proper operating procedures and processes
Uploads Store Targets to Retail Hana (SAP)
Manages and upload Task Management to Retail Platforms (Yoobic)
Inventory
Manage the team communication with stores regarding inventory needs, stocks allocations, mark-downs, and delivery pre-alerts
Act as liaison for Retail Team between logistic provider, merchandising, and allocation teams
Monitor and coordinating deliveries between DC and stores to achieve acceptable service level and optimal store level inventory
Coordinate with District Manager on cases where stores will be over or under stocked with inventory and ensuring top stores are always well stocked in best-selling lines
Coordinate annual stock-take, check and follow-up on monthly inventory variances at stores
Administrative
Acts as the point person to support new store openings, remodels and closings.
Coordinate and oversee timely delivery of equipments (Phone lines, VISA, etc) for new opening doors & liaise with IT department on equipment issues
Coordinates all returns to warehouse (RTV) and transfers between stores (STS)
Handles payment vouchers from stores and reconciliations. Track gift certificate/voucher
Coordinate, and compile month-end incentive reports from stores on regular sales commission, OT allowance, meal allowance and ad hoc incentive schemes for approvals and submission to HR and provide summarization of month-end incentives
Collate for Payroll submission (new application forms) from stores to be submitted to HR
Manage and update retail staff record - uniform, incentives, etc.
Handle retail back-office administration such as stationeries, paper bags & etc and raise purchase orders in SAP to ensure accurate payment is made in a timely manner
Operational cost control & audits on store usage of stationeries, paper bags and etc
Coordinates and supports the District Manager and Retail Manager in training programs
Works closely with HR and external agencies to support the manpower requirements in stores
Applies sales license in accordance to promotion plans (MY only)
Any other duties as assign by the Retail Manager
Requirements
Possesses a Diploma or a university degree with at least 3 years of significant experience in Sales and Retail Operations Management will be an advantage
Have a passion in retail and ability to engage with retail teams on the ground
Independent worker and a self-motivator
Ability to articulate issues, present “pros and cons” and is solutions driven
Communicates effectively, both orally and in writing, in one-on-one situations and in group presentations. Has the ability to make quick decisions and prioritize in a fast-paced environment. Demonstrates organizational, analytical and planning skills
Must possess effective reasoning, analytical and intuitive skills combined with reporting experience to assess and accurately summarize performance metrics and other historical information for management
Excellent MS. Excel skills e.g. Pivot Table, Vlookup
