Tasks & Responsibilities

  1. Supplier Identification and Evaluation:
    • Research and identify potential suppliers based on quality, cost, and delivery capabilities.
    • Conduct thorough evaluations of suppliers to assess reliability, capacity, and financial stability.
    • Develop and maintain a supplier database for easy reference.
  2. Contract Negotiation:
    • Negotiate contracts with suppliers to secure favourable terms and conditions.
    • Ensure contracts include provisions for quality standards, delivery timelines, and pricing structures.
    • Manage renewals and modifications of contracts as needed.
  3. Procurement Strategies:
    • Develop and implement procurement strategies to secure a consistent supply of materials.
    • Monitor market conditions to identify opportunities for cost savings and efficiency improvements.
    • Collaborate with finance to establish budgets and forecasts for procurement.
  4. Inventory Management:
    • Monitor inventory levels to prevent stockouts and excess inventory.
    • Implement inventory control measures and systems to optimize stock levels and reduce holding costs.
    • Coordinate with logistics to ensure timely delivery and minimize disruptions in supply.
  5. Market Analysis:
    • Analyze market trends, price fluctuations, and supplier performance to inform procurement decisions.
    • Conduct regular reviews of supplier pricing and negotiate adjustments to maintain competitive pricing.
    • Stay updated on industry trends and best practices in procurement.
  6. Quality Assurance and Compliance:
    • Ensure all purchased materials meet quality standards and regulatory requirements.
    • Oversee compliance with relevant regulations, including food safety standards, import/export regulations, and ethical sourcing practices.
  7. Stakeholder Collaboration:
    • Collaborate closely with internal stakeholders, including production, sales, and management, to align procurement activities with demand forecasts and business objectives.
    • Communicate effectively to ensure all teams are informed about procurement activities and changes.
  8. Budget Management:
    • Manage procurement budgets and optimize resource allocation to achieve cost-effective purchasing.
    • Monitor expenditures and prepare regular reports on procurement activities and savings achieved.
  9. Market Research and Trends:
    • Conduct market research and analysis to identify new opportunities and trends that can enhance procurement strategies.
    • Present findings and recommendations to management to support decision-making.
  10. Cross-Functional Collaboration:
    • Work collaboratively across departments to align procurement activities with overall business goals.
    • Participate in cross-functional teams to enhance operational efficiency and effectiveness.
  11. Additional Duties:
    • Provide support to the Purchasing team on additional tasks or special projects to align with departmental and organizational objectives.
    • Ensure compliance with Malaysian laws, company policies, and procedures regarding employment, safety, and environmental standards.
    • Undertake any other duties as assigned by Management, contributing to company objectives without compromising safety or personal well-being.

Qualifications & Experience

  • Diploma in Business Administration, Supply Chain Management, Purchasing, or a related field.
  • Minimum of 2 years of experience in a purchasing or supply chain role. Experience in retail, FMCG, or a related industry is valued. On-the-job training will be provided for candidates without relevant experience.
  • Strong computer skills, particularly in Microsoft Office Suite (Excel, Word, Outlook).
  • Knowledge of purchasing and inventory management processes.
  • Strong multitasking and time management abilities.
  • High attention to detail to ensure accuracy in data entry and documentation.
  • Ability to analyze market trends, sales data, and inventory reports to make informed purchasing decisions.
  • Problem-solving skills to address discrepancies and supply chain issues effectively.
  • Excellent verbal and written communication skills for engaging with vendors, suppliers, and internal stakeholders.
  • Strong negotiation skills to secure favourable terms and conditions with vendors.
  • Proficiency in Mandarin is a plus for effective supplier and client communication.
